Job Summary This position serves as the primary on site reception point for the Human Resources office and provides essential clerical and administrative support. This role ensures that all employees, applicants, and visitors receive prompt, professional, and courteous assistance. Because this position is responsible for in person reception and front office operations, remote work is not available.
This position plays a critical role in maintaining an efficient, service oriented HR office. Strong interpersonal skills, attention to detail, and the ability to manage a steady flow of guests and inquiries are essential. As an in office role, this position supports a professional reception presence and dependable administrative operations.
The schedule is currently 8am to 5pm, Monday through Friday. This position is non-represented as all responsibilities are confidential.
This position is open to a range of possible career experiences and can be filled at the Office Assistant II or III level, depending on qualifications.

Qualifications

Education and Experience:

Office Assistant II: Two years of experience, with limited task supervision, emphasizing or including intensive public contact, customer service, interpretation and explanation of regulations and involving general office work processes and use of modern office technology. In those positions requiring typing, the incumbents must, upon entry into the position, be able to type at a rate of no less than 55 words per minute.  May be required to possess or obtain a valid motor vehicle operator’s license.

Office Assistant III: Three to five years of responsible and advanced administrative support experience including the full range of office and support functions; telephone and reception, word processing, spreadsheet and other personal computer applications, filing systems, mail, supplies, budgeting, accounting and others.
 

Other combinations of education or experience, which would demonstrate the ability to perform the work, will be considered.

The ideal candidate will have the following strengths:

  • Experience working in a Human Resources environment is highly desirable.

  • Familiarity or experience with Workday or another web-based HRIS/enterprise systems is highly desirable.

  • Any higher education credits or a degree in business admin., human resources, or public admin. is desired.

  • Ability to use intermediate functions in Excel and Word.

  • Ability to manage multiple projects with changing priorities and deadlines.

  • Ability to work effectively with the public and staff of federal, state and local agencies.

  • Ability to work cooperatively in a high-pressure team environment.

  • Experience handling confidential information.

  • Excellent interpersonal communication skills.

  • Problem solving skills and ability to research data.

  • Demonstrated effective customer service experience.

Knowledge of: General office procedures and practices of the specialized functions, policies, and procedures of the work unit; spelling, capitalization, punctuation and rules of grammar, and of the formats and clerical procedures used in performing the work; filing and record-keeping procedures; applicable laws, county codes, ordinances, and policies governing the work of the department and assignment; business English; PC computer applications such as word processing, spreadsheets and data bases; basic bookkeeping and/or cashiering methods and practices as required by the position.

Ability to: Operate standard office equipment such as computer software applications, telephones, facsimile machines, copy machines; apply sound judgment in making decisions independently in accordance with established policies, procedures, and regulations; effectively maintain harmonious relationships with customers, including co-workers; diffuse difficult or highly charged situations; follow oral and written instructions; communicate effectively orally and in writing; learn assigned clerical, typing and/or stenographic tasks readily; and adhere to prescribed office routines; establish and maintain harmonious working relationships with other employees and the general public; maintain a neat personal appearance and courteous attitude toward the public and fellow employees, even under stressful and unpleasant situations; sit or stand for long periods of time while performing routine and repetitive functions.

Examples of Duties

Duties may include but are not limited to the following:

  • Provide front desk and guest reception services, including greeting visitors, managing check‑ins, and directing individuals to appropriate staff or resources.

  • Manage a multi‑line phone system, respond to inquiries, and route calls efficiently.

  • Coordinate new employee onboarding and orientation activities, including scheduling, assisting with required forms, and providing a welcoming first‑day experience.

  • Process employment verifications and assist with new hire documentation, including I‑9 completion.

  • Maintain shared email inboxes, respond to routine questions, and forward communications as appropriate.

  • Perform clerical tasks such as filing, scanning, document indexing, and mail distribution.

  • Monitor and maintain office supply inventory and ensure an organized, professional front‑office environment.

  • Support HR programs by preparing forms, recruitment advertising, reports, scheduling meetings, and assisting with routine clerical and administrative workflows.

  • Support and perform intranet/webpage design and maintenance.

  • Performs purchasing and accounts payable duties, including purchase and travel card transaction reconciliation and reporting.

  • Acts as department timekeeper, ensuring timely messaging and timecard completion.

  • Supports department staff and upper-level management.

  • Assist with special projects, requests from the public, events, and additional administrative duties as assigned.

Retirement Information

All Clark County employees must participate in a WASHINGTON STATE RETIREMENT SYSTEM PLAN (PERS, PSERS or LEOFF).Employee contributions begin the first day of work. Current contribution rates vary by plan but could range from 5% to 15% of gross pay, depending on the plan choice.
