Job Title: HR Manager (also serving as Office Manager — Indianapolis)

Location: Indianapolis, IN (onsite)

Reports To CFO

Employees Supported ~265 company-wide: ~165 lab personnel (100 in Flagstaff, AZ; 65 in Indianapolis, IN), plus a distributed remote workforce including SGA (Sales, General & Administrative) staff and ~70 remote Field Ops employees across multiple states

Position Summary:

Cordant is seeking an HR Manager to lead day-to-day HR operations for our Indianapolis, IN facility while supporting HR needs across our broader workforce — including our Flagstaff, AZ lab and a distributed remote population made up of our SGA (Sales, General & Administrative) team and roughly 70 remote Field Ops employees. This is a dual-scope role: the person in this seat will own core HR generalist functions — onboarding, employee relations, leave and benefits coordination, and multi-state compliance — for a workforce of approximately 265 employees company-wide, while also serving as the on-site Office Manager for the Indianapolis facility. This role is well suited to someone who enjoys variety, is comfortable wearing two hats, and can support both in-person lab/office staff and a largely remote workforce with equal consistency.

Key Responsibilities

Human Resources

• Serve as the primary HR point of contact for employees at the Indianapolis facility; provide HR support and coordination for the Flagstaff, AZ lab remotely, with periodic travel as needed

• Support HR needs for Cordant's distributed remote workforce — SGA staff and ~70 remote Field Ops employees — ensuring consistent onboarding, policy application, and employee experience regardless of location

• Manage full-cycle onboarding and offboarding for both onsite and remote hires: new hire paperwork, orientation, remote I-9 verification, systems/badge access coordination, and exit processes

• Handle day-to-day employee relations matters across all employee populations — answering employee questions, documenting concerns, and escalating complex issues appropriately

• Administer leave programs (FMLA, state leave, PTO) and coordinate with payroll and benefits providers on enrollments, changes, and terminations, accounting for state-specific variation across the remote workforce

• Maintain accurate, compliant personnel files and HRIS records for all employees, onsite and remote

• Support recruiting logistics for open roles — posting positions, scheduling interviews, coordinating reference checks — in partnership with hiring managers, including remote SGA and Field Ops hiring

• Track required certifications, licensure, and lab-specific training/compliance records in partnership with Lab Operations and EHS

• Monitor compliance with federal and applicable state employment law across all jurisdictions where Cordant employees are located — currently Arizona, Indiana, and the additional states tied to the remote SGA and Field Ops population — including required postings, wage & hour rules, multi-state new-hire reporting, I-9s, and EEO recordkeeping

• Support performance management processes: review cycles, documentation, and corrective action

• Assist with basic benefits administration and open enrollment coordination

• Prepare routine HR reporting for leadership (headcount, turnover, open positions) across both site-based and remote populations

Office Management (Indianapolis Facility)

• Serve as the primary point of contact for day-to-day office operations at the Indianapolis facility

• Manage office supplies, equipment, and vendor relationships (cleaning, maintenance, catering, courier/shipping)

• Coordinate facilities needs: repairs, building/landlord communication, security access, and visitor sign-in

• Support meeting and event logistics, including conference room scheduling and setup for onsite gatherings

• Serve as the local liaison for new hire workspace setup (desk, equipment, badge access) in coordination with IT and Facilities

• Maintain general office organization and a professional, welcoming front-office experience for employees and visitors

• Coordinate local travel arrangements and expense processing as needed

Qualifications

Required:

• Bachelor's degree in Human Resources, Business Administration, or a related field, or an equivalent combination of education and experience

• 5-8 yrs years of HR progressive HR experience, including prior experience as an HR Manager and supporting a multi-site and/or multi-state workforce

• Working knowledge of employment law (FLSA, FMLA, ADA, EEO) and comfort navigating multi-state compliance for both site-based employees (Arizona, Indiana) and a distributed remote workforce

• Experience with HRIS and payroll systems

• Strong organizational skills and the ability to manage competing priorities across HR and office management responsibilities

• High degree of discretion and sound judgment in handling confidential employee information

• Excellent interpersonal and communication skills

Preferred

• Experience supporting HR in a laboratory, life sciences, healthcare, or other regulated environment

• PHR or SHRM-CP certification

• Experience supporting field-based or sales workforces (e.g., Field Ops or Sales)

Work Environment & Travel

• This role is based full-time onsite at Cordant's Indianapolis, IN facility

• Occasional travel to the Flagstaff, AZ lab may be required (estimated 2-4 trips per year)

• Primarily an office environment; may involve occasional time on the lab floor for onboarding or compliance walkthroughs, subject to standard lab safety protocols
