About the RoleWe are seeking a detail-oriented and personable HR Assistant to support our Human Resources team with day-to-day administrative functions and entry-level recruiting activities. This is an excellent opportunity for someone early in their HR career who wants hands-on experience across the full range of HR operations, from employee records and onboarding to sourcing and scheduling candidates. This position is based full-time in our Indianapolis office.
Key ResponsibilitiesHR Administration- Maintain accurate and up-to-date employee records in the HRIS, including new hires, terminations, status changes, and personal information updates
- Prepare HR-related documents such as offer letters, employment verification letters, and onboarding paperwork
- Assist with benefits administration tasks, including enrollment support, answering routine employee questions, and processing changes
- Help coordinate new hire onboarding, including paperwork completion, orientation scheduling, and equipment/workspace setup
- Ensure compliance with company policies and applicable federal, state, and local employment laws
- Respond to routine employee inquiries and escalate more complex issues
- Support the planning and execution of company events, training, and employee engagement activities
- Generate basic HR reports (headcount, turnover, PTO usage, etc.) as requested
- Post job openings to internal and external job boards
- Screen resumes and conduct initial phone screens for select roles
- Schedule interviews and coordinate candidate communication with hiring managers
- Maintain and update candidate records in the applicant tracking system (ATS)
- Assist with job fairs, campus recruiting events, and other sourcing activities
- Prepare letters and coordinate pre-employment steps (background checks, drug screens, etc.)
- Provide a positive candidate experience throughout the hiring process
- Periodically answer the front door for visitors and guests
- Contact building facilities in the event of an urgent building issue
- Help ensure employees keep the break room and refrigerator clean and tidy
- Daily responsibility for receiving and routing all office mail, including FedEx
QualificationsRequired
- Bachelor's degree required (Human Resources, Business Administration, or related field preferred)
- 1+ years of experience in an HR, administrative, or office support role
- Strong written and verbal communication skills
- Sound judgment and the ability to handle sensitive situations with tact and professionalism
- High level of discretion and ability to handle confidential information appropriately
- Exceptional organizational skills, with the ability to manage multiple priorities and deadlines accurately
- Excellent attention to detail
- Proficiency with Microsoft Office (Word, Excel, Outlook)
- Ability to work reliably and consistently on-site in Indianapolis, IN
- Experience with an HRIS and/or ATS platform (e.g., Paycom, ADP, Workday, iCIMS, Greenhouse)
- Prior exposure to recruiting/talent acquisition activities
- Familiarity with basic employment law concepts (FLSA, FMLA, EEOC)
