For the Corporate Office, we're looking for an HR Assistant in Miami, FL.

Job Summary:

Compile and keep personnel records. Assist the department with projects as assigned and several other clerical duties. May prepare reports for employment records, file employment records, or search employee files and furnish information to authorized persons. Must be proficient in interacting with people and computer. To adhere to all policies and procedures as set forth by The Related Group.


ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to:

  • Maintain employee records and enter/update information into the HRIS system.
  • Order companywide breakfast weekly, order monthly birthday cake, coordinate employee event as assigned.
  • Send out quarterly promotions email.
  • Manage employee parking and vehicle information log.
  • Request fob and parking access.
  • Manage and update HRIS System homepage and People Assist portal.
  • Provide support during the Annual Benefits Open Enrollment.
  • Scan and Upload Payroll Files.
  • Update Employee salary and Bonus History log.
  • Assist recruitment with Job Publishing and process background checks.
  • Complete I-9 Audits and ensure that employee documentation is current and valid.
  • Send out the first day new hire email and new hire companywide email announcement.
  • Assist in the full-cycle onboarding process.
  • Create department flyers.
  • Review and process Employee Referrals and Tuition Reimbursements.
  • Manage building work orders through the Buildings Engine Software.
  • Process, verify, and maintain personnel related documentation, including staffing, recruitment, training, grievances, performance evaluations, classifications, and employee leaves of absence.
  • Maintain/Scan personnel files, documents.
  • Sort and distribute mail.
  • Gather personnel records from other departments or employees.
  • Coordinate the labor law poster distribution to the various sites and reconcile the sites for accuracy.
  • Ensure smooth communication with employees and timely resolution of their queries.
  • Assist in the ordering, receiving, stocking, and distribution of office supplies.
  • Order employee Life event baskets as requested.
  • Assist with other projects and/or duties as assigned.

Experience, Skills and Education:

  • Degree in Business Administration or related preferred.
  • Experience in related fields preferred.
  • Knowledge of Microsoft Excel, Word, Power Point, Canva, UKG, and Outlook, calendar and scheduling software.
  • Knowledge of HR procedures, laws, and HRIS a plus.
  • Organized, detail oriented, and punctual.
  • Capacity to multitask in a deadline-driven workplace with high volume.
  • Active Listening - Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate.
  • Speaking - Talking to others to convey information effectively.
  • Writing - Communicating effectively in writing as appropriate for the needs of the audience.
