Due to the expansion of our New York office, and broader North America operation, including the creation of a secondary location; we are now looking for an HR & Office Manager to join the team. Reporting into our Head of HR, you will be responsible for providing local HR support, and the day to day running of the office. You will work as part of the Global HR Team to help ensure efficient, effective, and consistent HR and office management support to the region.

You will be naturally hands-on and pragmatic, willing to roll your sleeves up, and enjoy fully immersing yourself in all aspects of your role (and beyond!). We may be an established organisation, but we retain our start-up mentality, and that can mean that no two days are the same! You will take pride in delivering high-quality work, evaluating current practices, and highlighting opportunities to improve our ways of working.

The successful candidate could either be someone experienced at this level, or someone who is ready to step-up. We are looking for a hands-on and pragmatic operator who is willing to roll their sleeves up and fully immerse themselves in an established organisation, that retains its start-up mentality.

RESPONSIBILITESHR SUPPORT

  • Responsible for providing operationally focused HR support, with a broad generalist remit; supporting, or taking the local lead on the following: ER, advisory, stakeholder management, recruitment, learning and development, and comp bens etc.
  • New starter onboarding including:
  • Preparing contracts of employment for new joiners (post acceptance of offer)
  • Distribution of new joiner IT and other equipment
  • Managing new starter local onboarding and inductions
  • Creating and maintaining all NY employee files and records
  • Organising new starter events and conducting new joiner check-in calls/meetings
  • Employee offboarding ensuring exit interviews and questionnaires are completed
  • Ensuring the safe return of any access passes, keys, IT equipment, etc.
  • Administering the HR system (Bamboo)
  • Providing regional weekly HR updates and attending HR team meetings
  • Monitoring sickness and absence levels and highlighting any areas of concern
  • Administering the local benefits programmes including building relationships with providers
  • Supporting centralised, and managing local, training initiatives
  • Ensuring annual required training and policy attestations are complete
  • Conducting HR interviews as part of the recruitment process (as required)

OFFICE MANAGEMENT

  • First point of contact for office management queries in New York (with support for required actions from Global Team)
  • Ensuring compliance with local Health and Safety requirements
  • Appointed First Aider & Fire Warden (Company training will be provided)
  • Managing the Office space and facilities
  • Supporting the contract renewal and expansion process, including office moves
  • Working collaboratively to ensure efficiency/comfort of the office environment
  • Ensuring sundries and office supplies are stocked regularly
  • Liaising with building management (Emerge 212), and any local suppliers and contacts

EXPERIENCE AND QUALIFICATIONS

  • Previous experience in an HR focused role is essential, ideally with experience of office management, overseeing the day-to-day operation, and associated regular tasks
  • Bachelor’s degree in Human Resources, or equivalent
  • Passionate about HR with a strong drive to deliver practical results to the business.
  • Able to exhibit a high level of confidentiality, discretion, and sensitivity
  • Naturally collaborative, with excellent interpersonal and communication skills
  • Resourceful and efficient with a strong ‘Can Do’ attitude
  • Able to effectively prioritise workload and manage multiple tasks
  • Hard working, able to respond to evolving needs and manage conflicting priorities
  • Knowledge of database software, email systems and ideally, HR systems.
  • Currently, or committed to, undertaking CIPD or equivalent (company funded).
