Our client is hiring an HR & Recruitment Support Assistant to help streamline their internal hiring and HR operations as the firm continues to grow. The HR Director and Head of Recruitment have been managing a large volume of administrative tasks—from scheduling interviews and managing candidate pipelines to coordinating reports and communications—which has limited their ability to focus on strategic initiatives. 

This role will step in as the organizational backbone of the recruiting process, ensuring candidates move efficiently through the pipeline while helping the team improve systems, documentation, and automation. ✅ Qualifications

  • 🌟 Strong Administrative Background – Experience in recruiting coordination, HR assistance, or administrative support roles.
  • 📋 ATS Experience Preferred – Familiarity with applicant tracking systems or CRM platforms is highly valuable.
  • 💻 Microsoft Office Proficiency (Required) – Strong skills in Outlook, Word, PowerPoint, and Teams.
  • 📅 Scheduling & Coordination Skills – Comfortable managing calendars, interviews, and candidate communications.

Responsibilities of the HR & Recruitment Support:

Your responsibilities include:

  • 📋 Recruiting Operations & ATS Management
    • Enter candidate information, resumes, and application details into the applicant tracking system (ATS)
    • Keep candidate records, interview notes, and hiring statuses accurate and updated throughout the recruitment lifecycle
    • Maintain structured candidate pipelines and ensure all recruiting data is organized and accessible
    • Support tracking of candidates across multiple open roles and hiring stages
  • 📅 Interview & Calendar Coordination
    • Coordinate interview schedules between candidates, recruiters, and hiring managers
    • Create and manage interview events through Outlook calendars
    • Attach meeting details such as Zoom links and candidate resumes to interview invites
    • Communicate with candidates and recruiting agencies regarding scheduling logistics
  • 📊 Reporting & Data Management
    • Compile information and candidate lists for weekly recruiting meetings
    • Assist in gathering data from multiple sources for firm-wide reports
    • Organize recruiting metrics and ensure leadership has accurate insights for decision-making
  • 📧 Communication & Inbox Management
    • Monitor and manage a shared recruiting email inbox
    • Respond to routine candidate inquiries and scheduling requests
    • Follow up with candidates to ensure smooth communication throughout the hiring process
    • Reach out via phone when necessary to confirm logistics or updates
  • 📄 Document Drafting & Formatting
    • Update templates for agreements with search firms
    • Edit and customize offer letter templates as needed
    • Draft and format internal documents, reports, and meeting materials
    • Maintain organized documentation for HR and recruiting processes
  • ⚙️ Process Improvement & AI Support
    • Document current recruiting and HR workflows
    • Suggest improvements to streamline operations and reduce manual tasks
    • Use AI tools to assist with repetitive tasks such as analyzing resumes or compiling reports
    • Support occasional internal projects such as presentations or simple design tasks using tools like PowerPoint or Canva
