We’re searching for an experienced and proactive HR Operations Specialist who’s ready to make an impact. The ideal candidate will bring solid HR knowledge, great attention to detail, and a passion for improving processes.
We are looking for someone who:
- Has a minimum of 3 years of experience in HR operations.
- Understands Romanian labor law in depth and is familiar with core HR processes.
- Has a proactive approach.
- Is confident using HRIS platforms and Microsoft Office package.
- Brings strong interpersonal and organizational skills.
- Enjoys spotting opportunities to improve the way things work.
- Works independently in a dynamic, fast-paced environment.
- Is fluent in English (both written and spoken).
What you'll be doing:
- Provide support and onboarding training to new colleagues to ensure a smooth integration and solid understanding of internal procedures and ways of working.
- Prepare, review, and process documents required during inspections by state authorities, and archive the resulting records accordingly.
- Prepare, review, and process the necessary documentation for signing individual employment contracts on-site.
- Draft employment-related documents in SuccessFactors and Pluriva – document management (employment contracts, creation of positions/departments based on the org chart, personal data forms, etc.).
- Verify employment and personal documents received from field locations.
- Manage the archiving of personnel documents, both physically and electronically.
- Archive closed employee files (including employment contracts) and ensure their transfer to the external archiving provider.
- Generate and provide documents requested by employees (e.g. medical certificates, income statements for tax authorities, documents for educational institutions, contribution history certificates, dependent-related certificates, etc.) as well as other HR-related documentation.
- Update employee data (personal and organizational) in HR platforms (SuccessFactors, Pluriva, SMDC, etc.) throughout the entire employee lifecycle.
- Update and draft HR-specific procedures and documentation.
- Support colleagues in implementing and using new programs or initiatives introduced at the group level.
- Prepare and send offboarding documentation to former employees (termination decisions, seniority certificates, final settlement forms, reference letters, etc.).
- Register and report all employee status changes in the General Register of Employees (Revisal).
- Review, update, and approve employee personal data in the HR systems (SuccessFactors, Pluriva).
- Submit information about open and filled positions to ANOFM for group companies.
- Actively contribute to the development and continuous improvement of HR workflows.
- Generate reports, overviews, or analyses upon request from management or other departments.
- Participate in the testing, enhancement, and implementation of HR systems or updates to existing systems.
