HR Operations Coordinator, Americas

Americas HR Operations' primary role is to process the requests received from HR Partners and Talent Acquisition members to process new hires and employee lifecycle transactions in HR Tool - MyHR and create respective memos and coordinate with the local HR Payroll/ HR Manager/TA teams. This position is to support Americas HR Processes.

What will youressential responsibilities include?

  • The primary responsibility is to support the HR Operations team (Americas) in understanding the requests coming from HRBP and TA via Smartform or email and to make sure it has all required information to process in MyHR and create respective memos.
  • Responsible for assigned BAU processes and will help support areas outside the BAU to ensure business continuity despite team absenteeism.
  • Comfortable being client-facing. Will be working closely with HRMs / TA team members to ensure the request received is clear and processed timely.
  • Provide professional, knowledgeable and friendly communication timely to our stakeholders as well as to our colleagues.
  • Ensure highlighting process breakdowns timely and take corrective actions.
  • Proactive with reminders to stakeholders for the necessary documentation.
  • Continuous Improvement Mindset - Help improve processes on a daily basis.
  • Position Management -
    • Create, edit and close positions as required with position management throughout colleague lifecycle events. Ensure accuracy of position details for downstream feed to Taleo.
  • New Hires/Transfers:
    • Ensures all information is received from Talent Acquisition - position information, personal details, signed offer letter, etc. in order to process new hire in myHR. If the requisition does not match the position, new hire cannot be entered until differences are resolved.
    • Prepare transfer letters, memos and contract amendments.
    • HR Administrator will take the lead in determining the correct information.
    • Manage the collection of the I9 forms and enter the submissions to eVerify, review the eVerify status and resolve the case returned by DHS. Provide support for any I9 audits.
  • All Colleague Lifecycle Events:
    • Prepare letters, memos and contract amendments as applicable to the process.
    • Track and follow up as necessary for signed documents.
    • Enter transactions into myHR and maintain appropriate documents in Documentum for new hires, active employees and terminated employees.
    • Prepare and upkeep of personnel files and file handoffs to payroll.
    • Administer and track HR Operations mailbox to ensure requests are handled within established SLAs, delegate to team members as applicable, and forward requests to appropriate parties.
  • Participate with weekly audits, determine fixes needed, and complete data fixes as required in myHR.
  • As organization structure changes, update myHR with changes and or manually handle the kickouts occurring via an upload.
  • Assist in the review of operations processes and aid in the implementation of continuous improvement recommendations.
  • Provide general administrative support or project help to Operations teams as needed.
  • Support HR Service Delivery initiatives.

Required Skills and Abilities:

  • Qualification in HR or relevant discipline.
  • Hands on HR operations administration/process experience preferred.
  • Fluent in English - both written and verbal.
  • High level of discretion for dealing with sensitive employee information.
  • Proactive in making decisions independently to move forward with processes.
  • Self-starter with a sense of responsibility.
  • Independent worker who is also a collective team member.
  • Excellent interpersonal and communication skills.
  • Advanced Microsoft Office skills, especially Excel.
  • Previous experience working with HCM systems and processes including experience and understanding of Oracle HCM Cloud or other HR systems.

  • Preferably worked with US HR processes.
  • Experience working in a global environment preferred.
  • Analytical and Problem-solving skills.

The U.S. pay range for this position is USD 45,000 - 80,500.Actual pay will be determined based upon the individual's skills, experience, and location. We strive for market alignment and internal equity with our colleagues' pay.
