About the role

We are seeking an HR Generalist to support day-to-day HR administration with a primary focus on Poland and secondary support for the United Kingdom. You will work closely with our regional HR team and global HR colleagues to deliver accurate, timely HR admin and first-line support to managers and employees. This role reports to the Regional HR Manager.

  • Contract type: Fixed-term employment (maternity leave cover)

  • Duration: Until end of September 2027

  • Location: Warsaw - hybrid

  • Scope: Poland (primary), UK (secondary)

Key responsibilities:

HR data administration

  • Process joiners, leavers, and employee changes in Workday (e.g., personal details, job changes, work authorization records).

  • Maintain accurate and complete employee files, records, and documentation.

  • Keep employees' data up-to-date in Workday and employee files.

Onboarding and offboarding coordination

  • Conduct employee onboarding and offboarding, including preparing and processing all necessary HR documentation.

  • Cooperate with our immigration support provider to ensure employment compliance for foreigners.

  • Track onboarding and offboarding checklists, probation reminders, and equipment return confirmations.

Document and contract management

  • Prepare employment contracts, contract addenda, cooperation agreements, and other employment-related documents using approved templates.

  • Ensure timely signatures and proper filing.

Benefits administration

  • Manage employee lists for benefits eligibility and enrollment.

  • Coordinate with benefits providers as needed.

Payroll coordination/support

  • Process variable pay for payroll for Poland (and the UK as needed).

  • Closely cooperate with the Accounting Team on delivering the payroll process.

  • Liaise with outsourced payroll provider.

(Payroll is processed by an external provider and payroll checks are performed by the Finance department; HR prepares input such as new hires, job changes, absences and terminations)

First-line HR support

  • Provide support to employees in various HR-related topics and resolve any issues that may arise.

  • Triage and respond to routine HR enquiries (policies, processes, benefits and leave questions, employment confirmations) for Poland and the UK.

HR programs and continuous improvement

  • Promote HR programs to create an efficient and empowered workplace.

  • Drive continuous improvement of processes and automation by leveraging available tools and resources to enhance efficiency and effectiveness.

  • Create an environment where diverse and motivated employees have the opportunity to perform, develop their talent and skills, and contribute to company success.

Team collaboration

  • Work closely with the Regional HR Manager and Global HR team on HR tasks and projects.

Desired profile

Education

  • Bachelor's degree preferred (Human Resources, Business, or related field) or equivalent practical experience.

Experience

  • 2-4 years of experience in HR administration, HR coordination, or a similar support role.

  • Experience supporting Polish HR processes strongly preferred; experience with the UK is a plus.

  • Exposure to working with outsourced payroll providers is an advantage.

  • Experience using Workday is a plus.

Skills

  • Strong attention to detail, organization, and follow-through.

  • Comfortable working with HRIS systems and MS Office/Google Suite.

  • Clear written and verbal communication; able to handle sensitive information confidentially.

  • Ability to prioritize, meet deadlines, and manage multiple requests in a fast-paced environment.

  • Proactive, service-oriented mindset with willingness to learn and ask questions.

Languages

  • Polish fluency required.

  • English fluency required.
