SUMMARY OF POSITION
The HR Generalist role covers a broad range of HR functional tasks, with both specialty roles and generalist responsibilities. The specialty areas within the HR function include Front Desk Reception, Employee Relations, Hourly Staffing, Records Administration, Benefits and Compensation Administration, Harvest HR Operations and Employee Services & Events. The role may have tasks covering all of these areas in support of a specific client group, or may be focused on one or more of the functional specialties, with cross-training to provide coverage in the other areas.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Employee Relations / Employee Services & Events:
Responsible for investigating and resolving employee questions, complaints and concerns. Facilitate communication between employees and management by conducting focus groups, round table discussions and plant visits. Responsible for coordinating all company events.
- Resolve employee grievances
- Conduct employee relations plant visits
- Provide summary and recommended action plans to area management
- Follow up to ensure issues were resolved and report on the follow up actions (create follow up timeline/reporting process)
- Discuss and resolve employee concerns with supervisors/managers
- Facilitate roundtable/focus group meetings
- Provide summary and recommended action plan to management

- Create an ER trend report by major category and monitor and report trends
- Conduct internal investigations – document all investigation with standardized format
- Responsible for coordinating company events, for example:
- Christmas Party
- Company picnic
- Turkey distribution
- Christmas tree distribution
- Orange gift boxes
- Admin gifts
- Responsible for Roll Giving process
- Generate, track and review 90 days evaluations
- Respond to subpoenas
- Conduct manager/supervisor training
- Responsible for Pagos Por Años process
- Process EDD response forms and appeals related to employee terminations and UI determinations (DE 1101 C/Z)
- Prepare for and attend UI appeals hearings
- Sign off on hourly staff’s ADP & approve hourly staff sick & vacation requests
Hourly Staffing & Records Administration
Responsible for the overall functions related to hourly recruiting, posting, and transfers, temporary associate staffing, data entry, and HRIS audits.
- Responsible for all data entry
- Fill all open hourly positions
- Post all hourly open position reports via email and designated employee posting areas (weekly or as needed)
- Facilitate hourly new hire orientations
- Responsible for on-site temporary employee process:
- Communicate with on-site reps regarding needs or concerns
- Communicate with supervisors regarding need for temp employees
- Create standardized temp agency audit process (ADP, I-9, drug testing, eligible to work at WPA, invoices)
- Generate, track and send weekly reports to all temp agencies
- Reconcile weekly temp reports
- Support layoff/recall process – work with employee relations
- Generate and track seasonal to full-time evaluations
- Provide HR manager monthly list of evals not turned in
- Open communication with benefits specialist regarding who is eligible for seasonal to full-time orientations
- Monthly system audits (1st week of the month)
- Title, division, cost center, crew, wages fall within general labor levels
- Review and update cost center mapping monthly (1st week of the month)
- Develop and populate turnover reports.
- Responsible for bi-annual computer purchase program
Benefits & Compensation Administration
Manage and administer employee benefits plans, leave of absence process and wellness initiatives.
- Responsible for coordinating annual insurance & FSA open enrollment meetings
- Reconcile and process monthly benefits invoices:
- Medical Benefits
- Reliance GTL, STD, LTD & Voluntary Life
- Respond to and resolve employee medical insurance billing & utilization questions & concerns
- Process and track all leaves of absences:
- Keep FMLA binder up to date
- Keep LOA information up to date
- Track/research notes regularly and accurately
- Ensure Medical Certifications are accurate and up to date
- Ensure employees receive proper qualification notification
- Document conversations for employee file
- Process and track short and long term disability
- Process disability and life insurance claims
- Process Flexible Spending Account requests
- Responsible for 401K process:
- Provide information/education regarding plan as needed
- Review feedback files and take action weekly (every Friday)
- Add new hires and delete terminated employees to plan monthly (Fidelity web site)
- Add new hires and delete terminate employees monthly in GTL, Voluntary Life and 401K systems
- Responsible for benefits arrears process:
- Track in the system
- Generate, resolve & reconcile arrears report
- Schedule, track and facilitate monthly seasonal to full-time orientations (select reoccurring week & day)
- Track personal restrictions and provide to weekly reports
- Process and track tuition reimbursement requests:
- Monitor annual & lifetime caps
- Use standardized tracking process
- Copy all information for employee file
- Responsible for Wellness event coordination
- Responsible for annual salary bonus process in our Performance Management system
- Employment Verifications
- Process EDD benefits audits (DE 2503 & 2503F) and court mandated dependent insurance enrollments
- Provide I.S. with monthly new hire and termination reports
- Ensure benefits forms and information is up to date
- Responsible for the interactive process on limited duty and physical work restrictions – work related and non-work related. Employee Relations will support the process:
- Coordinate meetings
- Document interactive process (format to be discussed)
- Back up for Workers’ Comp process
OTHER DUTIES / RESPONSIBILITIES FOR HR GENERALISTS (ALL):
- Translations
- Generate ad hoc reports as needed
- Harvest duties as assigned
- Any other duties assigned
Qualifications
QUALIFICATIONS
EDUCATION AND/OR EXPERIENCE
Bachelor’s degree from an accredited 4 year institution desired. 4 -5 yrs experience as an HR generalist, preferably in a medium to large manufacturing company environment.
LANGUAGE SKILLS
Must be able to communicate verbally and in writing in English. Excellent communications skills dealing with all levels of employees. Able to deliver small group and large group presentations. Conversational Spanish is required.
MATHEMATICAL SKILLS
Must be able to perform technical calculations, assemble data in charts and graphs, and manage budgets. Proficient in software tools: word processing / spreadsheets / presentations.
REASONING ABILITY / JUDGEMENT
Must be able to manage several assignments simultaneously. Problem solving skills are essential to this position. Must be able to handle extremely confidential and sensitive information.
CERTIFICATES, LICENSES, REGISTRATIONS .
Not required. Employee Relations / Employment Law seminars, PHR, SPHR, and/or CCP preferred.
