Position Summary
The HR Employee Services Specialist serves as a first point of contact for employees and supervisors seeking assistance with routine Human Resources questions, requests, and processes. This position provides employee services support in the areas of leave administration, including FMLA and PFML; ADA accommodation coordination; employee relations; benefits administration; and general HR operations.
Required Education and Experience
- High School Diploma / GED required. Associate’s degree in human resources, business administration, or a related field preferred.
- Two years of experience in human resources, employee services, benefits administration, leave administration, or a related field.
- Experience handling confidential employee information required.
- Experience using HRIS, benefits administration, leave-tracking, or other HR-related systems.
- Equivalent combinations of education and experience may be considered.
Related Knowledge, Skills and Abilities
Knowledge of:
Basic human resources principles, practices, and terminology.
Basic concepts related to FMLA, PFML, ADA accommodations, employee benefits, and employee relations.
Leave tracking, documentation, and reporting practices.
Confidentiality requirements and appropriate handling of sensitive employee information.
HR policies, procedures, records, and administrative practices.
Skill in:
Providing professional and responsive customer service to employees and supervisors.
Communicating clearly and respectfully regarding sensitive or confidential matters.
Listening to employee concerns, gathering relevant information, and determining appropriate next steps.
Organizing, tracking, and following up on multiple requests, leave activities, and deadlines.
Reviewing leave records, documents, invoices, and reports for accuracy and completeness.
Preparing routine reports and identifying discrepancies or missing information.
Maintaining accurate and confidential records.
Using HRIS, benefits, Microsoft Office, email, and other HR-related systems.
Ability to:
Exercise sound judgment regarding when to resolve a matter and when to refer it to the Benefits Manager, Employee Relations Manager, or other HR leader.
Maintain accurate and timely FMLA and PFML tracking and reporting.
Work effectively with managers to resolve discrepancies and ensure leave is properly recorded.
Maintain confidentiality and professionalism when handling sensitive employee information.
Apply established policies and procedures consistently.
Identify incomplete, inconsistent, or potentially sensitive information and seek appropriate guidance.
Manage competing priorities and meet established deadlines.
Conduct or participate in employee meetings in a professional and objective manner.
Work independently within established procedures while recognizing when consultation or escalation is needed.
Establish and maintain effective working relationships with employees and supervisors at all levels.
Ability to drive and must possess a valid driver’s license.
