The Role

Job Summary

We are looking for an enthusiastic and highly organized individual in a supporting role to the HR department. This role would best suit a candidate looking to support the HR shared services team. To be successful in this role, you must be able to work as part of a team, while independently and proactively completing tasks. Excellent organization, communication, Microsoft Office skills, and accuracy/attention to detail are essential requirements. The nature of this role requires a tactful and confidential approach. The HR Data Coordinator (HRDC) is responsible for gathering, auditing, processing, and maintaining confidential employee data and records. The HRDC maintains and updates employee data to accurately complete standard, regulatory and ad-hoc report requests.

Minimum Qualifications

  • High School diploma or equivalent
  • Must have 2-4 years of HRIS experience with ADP WorkforceNow
  • 1-2 years of experience in HR data management
  • Familiarity with Applicant Tracking systems; SuccessFactors experience preferred
  • Experience with document scanning, storage and indexing systems
  • Demonstrated ability to handle confidential information with absolute discretion.
  • Demonstrated proficiency in Microsoft Office and strong computer, data entry skills.
  • Excellent verbal and written communication skills.

Essential duties and responsibilities

  • Collects, organizes and maintains employment-related documents for HRIS data entry and reporting
  • Serves as the HR department's technology tester for new HRIS system updates and enhancements and communicates to the HR team, employees and managers as needed
  • Organize and maintain electronic personnel records
  • Review, revise, and update HR forms
  • Create regular presentations and reports on HR metrics, such as turnover rates, retention rates, and more
  • Assist with the management of the HRIS software of the organization including, but not limited to:
    • Manage user access, security, and permissions
    • Monitor system performance and identify improvement opportunities
    • Stay updated on system updates, enhancements, and new functionalities
    • Collaborate with Team Lead to troubleshoot and resolve HRIS-related issues
  • Data Integrity and Compliance
    • Ensure accuracy, completeness, and consistency of HR data through audits and validation.
    • Adhere to data privacy regulations and maintain confidentiality.
    • Identify and resolve data quality issues.
  • Monitor compliance with data protection policies
  • Assist with the scanning and filing of employment-related documents
  • Works with Payroll Team to insure prompt and accurate flow of employee documentation for monthly payroll data entry
  • Enters E-Verify verifications as needed or assigned
  • Ensures compliance with the E-Verify program
  • Assists HR Shared Services Team Lead with various data analysis needs and surveys, including standard and ad-hoc report creation and maintenance
  • Maintains the companies Organizational Charts
  • Conducts regular and as-needed employee file audits to ensure proper documentation has been collected and reviewed, such as I-9s, employment offers, annual letters of intent, and any missing documentation.
  • Assures proper storage, organization and retrieval of HR records.
  • Serves as a resource for employees and managers on issues associated with employee files and other confidential documents.
  • May assist, as needed, with coordination of special events such as benefits fairs or other HR-related training.
  • Monitors the HR fax and main call line as needed.
  • Reporting to the HR Shared Services Team Lead, takes an active role in other HR Shared Services projects as needed
