The Position
CallRail is looking for an HR Coordinator to join our growing team. You will be responsible for ensuring a seamless candidate journey from initial contact through onboarding, contributing to the mission of building a diverse and talented workforce that aligns with the CallRail’s strategic goals. By focusing on creating a positive experience for candidates and supporting the Talent & Culture team, the HR Coordinator helps maintain our reputation as a top employer and fosters a collaborative, growth-oriented work environment.
When not focused on the candidate experience you should be able to pivot to the employee experience and help the rest of the Talent & Culture team with various projects.
To be successful in this role you will need to have a proven ability to take initiative, adapt quickly and calmly to changing priorities, work with a high sense of urgency and build strong, productive relationships.
What You'll Do
- Manage and optimize candidate experience: Coordinate candidate communications, schedule interviews, assist with onboarding new hires, and ensure a positive experience throughout the employment process. This includes maintaining clear communication with candidates and current employees, troubleshooting any scheduling issues, and providing timely updates to all parties involved.
- Own the offer letter process from start to finish: Draft, review, and finalize offer letters in collaboration with hiring managers and Talent & Culture team members. Ensure accuracy and timeliness of all documents to maintain a smooth transition for new hires.
- Support Talent & Culture projects and initiatives: Participate in projects that improve internal processes and enhance team efficiency. Collaborate with team members on initiatives that promote employee engagement, retention, and professional development and our company wellness program (CareRail.)
- Maintain applicant tracking system and other administrative employment files in the HRIS (Greenhouse Applicant Tracking System, Namely): Keep detailed, accurate, and confidential records in Greenhouse and Namely. Regularly update candidate statuses, generate reports, and provide insights based on data to improve hiring strategies and employee files.
- Build partnerships with external organizations: Develop and maintain relationships with external talent acquisition partners to support recruitment goals and enhance CallRail’s employer brand.
- The following are examples of additional projects you might be asked to contribute to:
- Assist with miscellaneous administrative tasks related to Talent & Culture, such as scheduling team meetings and preparing reports on team metrics.
- Perform other duties as assigned, including participating in recruitment events and supporting other departments when needed.
What You'll Need
- Strong organizational skills
- Strong written and verbal communication skills
- Comfortable working in our applicant tracking system; Greenhouse
- Comfortable working in a fast-paced, autonomous, and ambiguous environment
- Comfortable interacting with diverse stakeholders and fostering positive relationships
- Demonstrate excellent judgment, discretion, and sensitivity while dealing with confidential information
- Excellent time management skills with proven ability to meet deadlines and manage several different calendars

This position is based out of our Atlanta office and will require that you come into the office on Tuesdays and Thursdays.
