We're looking for a detail-oriented, service-driven HR Coordinator to support our human resources operations, manage the employee onboarding process, and help ensure new team members are ready to succeed from day one.

In this role, you'll coordinate the new hire experience from offer acceptance through their first day, oversee pre-employment screening and employment documentation, maintain accurate employee records, and serve as a trusted resource for employees and managers. You'll collaborate with Recruiting, HR Business Partners, Payroll, Operations, and hospital leadership to deliver a consistent, efficient, and welcoming onboarding experience across our organization.
If you're organized, proactive, comfortable managing multiple priorities, and excited to use technology to make HR processes more efficient, we'd love to meet you!

What You'll Do

  • Manage the end-to-end employee onboarding process in Paycom, our human resources information system (HRIS), from offer acceptance through the employee's first day.
  • Monitor onboarding workflows, track outstanding tasks, and follow up with new hires and hiring managers to ensure timely completion.
  • Coordinate pre-employment requirements, including background checks, drug screenings, and professional license verifications, as applicable.
  • Help create a positive, organized, and consistent onboarding experience for new employees joining our veterinary hospitals and home office teams.
HR Compliance and Employee Records
  • Coordinate timely and accurate completion of Form I-9 and employment eligibility verification requirements.
  • Support audits of I-9 forms, onboarding documentation, and employee personnel records.
  • Maintain accurate employee information in the HRIS, regularly auditing records and correcting discrepancies.
  • Handle confidential employee information with discretion and sound judgment while following established HR policies and procedures.
HR Support and Employee Service
  • Serve as a first point of contact for general human resources questions from employees and managers.
  • Provide responsive, professional support and direct questions to the appropriate HR team member when needed.
  • Partner with Recruiting, HR Business Partners, Payroll, Operations, hiring managers, and external vendors to resolve onboarding and employment-related issues.
  • Help train managers on hiring and onboarding procedures and develop guides, tools, and resources to simplify the process.
Reporting, Technology and Process Improvement
  • Prepare monthly HR reports and support onboarding, compliance, and workforce metrics.
  • Assist with annual HR reporting and compliance-related reporting requirements.
  • Identify opportunities to improve, standardize, and streamline HR processes across a multi-site organization.
  • Leverage HR technology, automation, and AI tools to improve productivity, reduce manual work, and enhance the employee experience.

What You'll Bring
  • 1–3 years of experience in human resources, HR administration, employee onboarding, recruiting coordination, or a related field.
  • Hands-on experience with onboarding workflows, Form I-9, background checks, and pre-employment screening processes.
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks, deadlines, and competing priorities.
  • Excellent written and verbal communication skills and a customer-service mindset.
  • The ability to handle confidential information professionally and exercise sound judgment.
  • A proactive, solutions-oriented approach and the ability to work independently while collaborating across teams.
  • Proficiency with Microsoft Office applications, including Excel, Outlook, and Word, and experience navigating HRIS or other business systems.
  • Comfort using AI tools and emerging technologies to improve efficiency, streamline workflows, and identify opportunities for continuous improvement.
  • A high school diploma or equivalent.
