Job Description:

Position Summary

Wilsonart is seeking a detail-oriented HR Coordinator to keep our site's HR operations running smoothly. This role is an onsite resource for employee inquiries, payroll inputs, onboarding logistics, and a variety of other HR related tasks. You'll support the entire US HR team and own the weekly deadlines that keep employees paid accurately and on time.


Key Responsibilities

Payroll Support & Weekly Deadlines

  • Prepare and submit weekly payroll inputs by Friday noon, including safety shoe, glasses, and club reimbursements; driver mileage; gift cards; spot awards; sign-on and employee referral bonuses; service awards; and payroll deductions
  • Support weekly timekeeping
  • Review and approve direct deposit changes, verifying employee identity against Workday and MFA records

Onboarding & Employee Records

  • Coordinate new hire orientation logistics, including PPE, badge photos, parking passes, safety checklists, and sign-in
  • Serve as backup for benefits during New Employee Orientation
  • Create and maintain employee files, ensuring all required forms are complete
  • Administer online verifications for current and future team members

Leave & Compliance Administration

  • Enter leaves of absence in Workday and send FMLA exhaustion letters
  • Process unemployment claims, verifications of employments and certified letters
  • Maintain the corrective action database, including entry, lookups, and filing
  • Upload eligibility files to benefits systems

Temporary Workforce Coordination

  • Send weekly temp labor reports to staffing agencies (Express, UCORE, Spherion, Manpower) and resolve hours discrepancies
  • Support weekly temp onboarding, including PPE, sign-in, and safety checklists
  • Code staffing agency invoices and route for director approval

Invoices, Purchasing & Gift Cards

  • Code vendor invoices (lunch, safety shoes, florist) and obtain HR leadership approval
  • Order HR supplies, lunches, flowers, and gift cards
  • Manage gift card approvals, inventory, distribution, and log

Employee Communications & Engagement

  • Respond to employee HR inquiries and distribute HR mail
  • Manage HR text messaging and all-employee communications
  • Lead the Spark Award and event committee meetings, coordinating Halloween, Veterans Day, holiday, and company picnic events
  • Administer service awards in O.C. Tanner
  • Other duties as assigned

Qualifications

Required

  • High school diploma or equivalent
  • 2+ years of HR, payroll, or administrative experience
  • Strong attention to detail and accuracy with numbers and calculations
  • Ability to manage multiple recurring deadlines with minimal supervision
  • Discretion handling confidential employee information
  • Proficiency in Microsoft Excel, Word, and Outlook

Preferred

  • Associate's or bachelor's degree in Human Resources, Business, or a related field
  • Experience with Workday or a similar HRIS
  • Experience in a manufacturing environment
  • Working knowledge of FMLA, unemployment, and background/MVR processes

Working Conditions

This is an on-site role based in an office environment with regular time on the manufacturing floor. PPE is required in production areas.
