HR Coordinator
About the Job
Cityside Fiber is seeking an organized and personable HR Coordinator to provide administrative support to our Human Resources team and help keep our Irvine headquarters running smoothly day to day. This is an entry-level role well suited for someone early in their HR career who is eager to learn, comfortable wearing multiple hats, and takes pride in the details. You'll be a key support player behind the scenes on HR administrative tasks.
Responsibilities
- Assist with new hire onboarding logistics including preparing paperwork packets, coordinating background checks, and supporting Day 1 setup
- Maintain employee records and personnel files, ensuring documents are accurate, complete, and properly organized
- Support benefits administration by assisting with enrollment paperwork, processing status change requests, and fielding basic employee inquiries
- Help track and follow up on compliance items such as training completions, certifications, and policy acknowledgments
- Draft and send routine HR communications including reminders, announcements, and distribution list updates
- Assist with scheduling and logistics for HR-related meetings, trainings, and company events
- Respond to routine employee questions about HR policies and procedures, escalating as needed
- Provide general administrative support to the HR team including filing, data entry, ordering office supplies, and vendor coordination
- Contribute to audit readiness and policy compliance by maintaining orderly, current, and accessible records
- Serve as a first point of contact by greeting visitors at reception desk, answering phones, responding to inquiries, and directing requests appropriately
- Maintain common areas including the kitchen and break room, ensuring they are stocked, tidy, and presentable throughout the day
- Provide general office and administrative support as needed
- Perform other duties and projects as assigned

Qualifications
- High school diploma or GED required; Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field preferred
- 2+ years of experience in an HR, office administration, or customer-facing support role; internship experience welcome
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Strong interpersonal and communication skills; comfortable engaging with employees and visitors at all levels
- Highly organized with strong attention to detail and follow-through
- Ability to handle sensitive information with discretion and professionalism
- Positive, team-oriented attitude with a willingness to pitch in wherever needed
