About This RoleReflex operates across 25+ states with thousands of W2 retail associates powering stores nationwide. As we scale, keeping our compliance operations accurate and on-time is mission-critical. We're looking for a detail-oriented HR Compliance Coordinator to handle the day-to-day execution of our compliance processes — wage garnishments, unemployment claims, background and drug screening, employment verifications, I-9/E-Verify, and related administrative filings.
This role works within established procedures and escalates judgment calls. You need to be meticulous, deadline-driven, comfortable leveraging technology and AI tools to stay efficient, and trustworthy with sensitive information.

What You'll DoWage Garnishments & Payroll Compliance
- Process incoming wage garnishment orders: verify documentation, calculate withholding amounts per state and federal limits, and coordinate with payroll for timely implementation
- Track active garnishments and respond to agency inquiries within required deadlines
Unemployment
- Respond to unemployment claims and requests for separation information within required deadlines
- Gather documentation, submit responses accurately, and maintain complete case records
- Escalate contested or high-risk claims and contribute on resolution
I-9 / E-Verify
- Administer Form I-9 and E-Verify processes, including document review, reverification, and resolution of non-confirmation cases
- Conduct periodic I-9 audits to ensure accuracy and completeness; flag exceptions for review
- Stay current on employment eligibility verification requirements across operating states
Employment Verifications & Reporting
- Complete employment verification requests promptly and professionally
- Handle state-specific reporting for worker separations and new-hire filings
- Maintain compliance data in HRIS and other internal systems; generate routine compliance reports for leadership
Employee Relations Support
- Respond to worker questions about garnishment, unemployment, background screening, and other compliance processes through approved support channels
- Assist with documenting employee relations cases and compliance matters; escalate higher-risk situations appropriately
- Provide cross-functional support to other teams to ensure consistent policy application
Process & Technology
- Help to develop SOPs and checklists for each compliance process
- Actively leverage AI tools and emerging technologies to improve workflow efficiency and accuracy
- Support process improvement efforts, automation initiatives, and system enhancements as the compliance function scales
- Assist with audits, government reporting, and other regulatory requirements as directed
- 1 - 2 years in an administrative, payroll, HR support, or compliance-adjacent role (direct HR experience is a plus, not a requirement)
- Familiarity with multi-state employment regulations is a plus; willingness to learn is required
- Strong attention to detail - you catch errors before they become problems
- Comfort working with numbers, forms, agency portals, and tight deadlines
- Demonstrated ability to leverage AI tools and technology to improve productivity and accuracy
- Disciplined about following defined procedures and knowing when to escalate rather than improvise
- Discretion and professionalism with confidential employee information
- Clear written and verbal communication
- Proficiency with standard office tools (Excel/Google Sheets, email, HRIS or payroll platforms)
- Experience supporting temporary, contingent, hourly, or multi-state workforce populations is a strong plus
