    Key Responsibilities:
  • Recruitment Administration
  • Assist the HR team with:
  • Coordinating recruitment administration across store, bakery, café, and support office vacancies
  • Posting and maintaining recruitment advertisements across recruitment platforms
  • Maintaining recruitment trackers, vacancy registers, and candidate records
  • Screening resumes against recruitment criteria for progression to the HR team
  • Coordinating interview scheduling and candidate communications
  • Preparing interview confirmations, recruitment correspondence, and rejection communications
  • Completing reference checks, police checks, and right-to-work verification processes
  • Preparing employment contracts, onboarding documentation, and recruitment paperwork
  • Coordinating collection of onboarding documentation and employment forms
  • Completing onboarding administration within Gingerbread House and Humanforce
  • Maintaining onboarding records and recruitment compliance documentation
  • Coordinating work placement administration and associated documentation
  • HR Administration & Employee Records
  • Assist the HR team with:
  • Maintaining accurate and confidential employee files, HR databases, and personnel records
  • Processing employee changes including transfers, pay updates, promotions, and employment status changes
  • Preparing HR letters, forms, contracts, and employee documentation
  • Maintaining employee sign-offs, acknowledgements, and compliance records
  • Coordinating filing, archiving, and maintenance of HR documentation
  • Maintaining HR forms, templates, trackers, and administrative documentation
  • Monitoring probation periods, contract expiries, visa expiries, and compliance tracking registers
  • Coordinating policy distribution and employee acknowledgement tracking
  • Following up outstanding documentation with employees and managers
  • Coordinating employee offboarding administration including termination documentation, exit paperwork, and system updates
  • Coordinating company property tracking and return processes during onboarding and offboarding
  • Payroll & HRIS Administration
  • Assist the HR team with:
  • Processing payroll administration support tasks through Humanforce and associated HR systems
  • Entering employee updates, leave requests, transfers, and payroll-related changes into HR systems
  • Conducting timesheet checking and payroll data accuracy reviews
  • Preparing payroll amendment tracking documentation
  • Maintaining employee information within Humanforce and associated HR systems
  • Completing HRIS administration, reporting, and system maintenance tasks
  • Escalating payroll discrepancies and system issues where required
  • Compliance & Workforce Administration
  • Assist the HR team with:
  • Monitoring visa expiry dates, licences, certifications, and compliance requirements
  • Maintaining sponsorship documentation and compliance tracking records
  • Tracking training completion and compliance requirements
  • Maintaining audit documentation and workforce compliance registers
  • Maintaining HR policies, procedures, and compliance documentation libraries
  • Ensuring employment documentation and records remain accurate and up to date
  • Coordinating employee sign-offs relating to policies, contracts, and employment documentation
  • Escalating overdue compliance matters and documentation issues where required
  • Learning & Development Administration
  • Assist the HR team with:
  • Uploading and maintaining e-learning content within training platforms
  • Assigning training modules and monitoring completion progress
  • Maintaining training records, sign-offs, and competency tracking documentation
  • Completing LMS administration and training reporting tasks
  • Updating SOPs, training documentation, and operational guides as directed
  • Coordinating training reminders, communications, and follow-up actions
  • Reporting & Systems Administration
  • Assist the HR team with:
  • Preparing HR reports, recruitment reports, training reports, and workforce tracking reports
  • Updating spreadsheets, dashboards, workforce trackers, and HR reporting registers
  • Running reports from HRIS and workforce systems as requested
  • Completing data cleansing, system maintenance, and reporting accuracy checks
  • Maintaining HR administrative systems and workflow tracking processes
  • General HR Administration
  • Assist the HR team with:
  • Managing HR administration inbox enquiries and responding to routine HR queries
  • Escalating operational, compliance, payroll, or employee relations concerns where appropriate
  • Coordinating meetings, interviews, training sessions, and HR-related bookings
  • Preparing employee relations documentation, meeting letters, and file notes as directed
  • Maintaining confidentiality across all HR and employee information
  • Supporting HR projects, process improvements, and administrative initiatives
  • Contributing to efficient day-to-day HR department operations

Requirements
  • 3+ years of administrative experience: HR experience is a plus, but we are open to pure administration professionals.
  • Tech-savvy: Quick to learn new systems. Experience with JobAdder (or any ATS), Humanforce, or Gingerbread House is preferred but not required.
  • High-volume capability: Comfortable working in a fast-paced environment supporting 500+ staff (the team hired 75 people last month).
  • Highly organized: Exceptional attention to detail to ensure no documentation or details fall through the cracks.
  • Australian market experience is preferred but not essential.

Work Arrangement
  • Work Setup: On-site
  • Work Hours: Monday to Friday, 8:00 am to 5:00 pm fixed start time, should complete nine (9) hours work
