Role Purpose
The Executive Assistant to the Executive Chairman serves as a highly trusted partner responsible for managing and coordinating both personal and business-related priorities. This role functions as an extension of the Executive Chairman, providing proactive support that enables effective management of personal affairs, philanthropic initiatives, real estate interests, and select dealership-related business activities. Also includes fully managing accounts payable, expenses and cash flow for the Executive Chairman. The position includes involvement in and acting as a liaison to support other financial responsibilities within the highly confidential family office environment.
Compensation: Pay is based on experience and qualifications.
Responsibilities
- Manage calendars, scheduling, travel, and meeting coordination for the Executive Chairman.
- Coordinate personal, business, and family office administrative tasks with professionalism and discretion.
- Accounts payable, including entering bills into QuickBooks and preparing checks for payment.
- Charitable foundation support, including budget, pledges, payment, tax administration
- Expense review and analysis
- Cash flow responsibility coordination
- Maintain organized financial and administrative records, both digital and physical.
- Support routine bookkeeping and accounting functions.
- Process mail, vendor correspondence, and routine financial paperwork.
- Assist with expense tracking, document preparation, and general office administration.
- Handle confidential information with the highest level of accuracy, integrity, and discretion.
- Provide general administrative support and assist with special projects as needed for the Family Office.
Competencies and Qualifications
- Bachelor’s degree preferred or equivalent professional experience.
- Bookkeeping experience preferred but not required.
- 5+ years of executive assistant, personal assistant, family office, or similar high-level support experience.
- Advanced proficiency in Microsoft Office Suite as well as apple products and overall technology.
- High level of organization, project management and documentation discipline
- Professional discretion and confidentiality

- Strong written and verbal communication abilities.
- Ability to work independently and prioritize accordingly.
- Ability to work independently and exercise sound judgment.
Skills Required
