The Group Sales Specialist will provide all support functions to the Sales team within the WSO including administrative duties, processing and loading group and leisure enquiries, maintenance of sales databases(SFA) and liaising with Home office to develop system capability for groups business, report generation, development and usage of Vertical response to assist with coordinating client events, answering phones and providing additional general office assistance when needed. The candidate must be flexible, cooperative, able to multi-task, and a team player. A positive and professional attitude is necessary.
Position Functions Outline
- Assist with planning of client site inspections and organize amenities and client preferences with the Resort team.
- Host site inspections on behalf of sales team
- Entertain agents / fam trips in resort F&B outlets
- Coordinate agent property visits including FAM trips
- Receive and respond to incoming emails/phone calls to the Sales Department in accordance with Four Seasons Standards.
- Prepare contracts and proposals for Group Sales team.
- Proactively field questions and manage client requests in the absence of a Sales Managers.
- Prepare accurate written correspondence in English including letters, contracts, proposals, reports, and emails using Microsoft 360, MS Word, Excel, Golden Sales & Catering.
- Maintain GSC accounts including: traces, creating and updating accounts and bookings, and creating and editing events in the booking function diary.
- Develop and create required Sales and Marketing and resort collateral such as flyers, brochures, FAM invitations, site alerts, stay itineraries, sales presentations, etc.
- Work harmoniously and professionally with co-workers and planning committee.
- Answer client questions, provide information about the resort and maintain relationships with clients while Sales Managers are traveling on business.
- Maintain Golden Sales & Catering accounts, including traces, creating and updating bookings, and systems maintenance.
- Write/run Golden Sales & Catering reports associated with Group needs and/or mailings.
- Providing Catering Administrative Assistant support as necessary, including but not limited to contract turnovers, merging contracts, site inspection forms.
- Managing projects related to sales initiatives such as holiday gifts
- Operate a variety of electronic and manual office resources, including but not limited to laser printers, multi-function copy machines, office equipment.
- Periodically assist with front of house operations including greeting and directing guests.
- Finalizing the requirements and assisting with resume preparation of confirmed bookings when needed.
- The ability to perform other tasks or projects as assigned by hotel management.
QUALIFICATION REQUIREMENTS:
- Excellent reading, writing & oral proficiency in the Spanish & English language
- An eagerness to interact directly with clients in the absence of Sales Managers
- Strong organizational skills
- Great attention to detail
- Ability to multitask
- Able to handle a large volume of telephone calls and emails in an efficient and courteous manner
- Proficient in Microsoft Word, Excel, Internet, Microsoft 360
- Food and Beverage, Conference Services or Reservations/Front Desk knowledge is a plus
- Work well under pressure, requires multitasking and being a team player
- Detail oriented, well developed organizational skills and a strategic thinker
