POSITION PROFILE

The Group Rooms Coordinator is responsible for overseeing all aspects of group reservations, including processing group sales contracts, managing room blocks, and ensuring accurate and timely communication with clients and internal departments. This role requires exceptional organizational skills, attention to detail, and the ability to provide outstanding customer service to group clients.

ESSENTIAL RESPONSIBILTIES

  • Group Reservations Management:
    • Process all group sales contracts and accurately maintain group blocks in the Property Management System (PMS).
    • Enter rooming lists, manage group inventory, and audit group blocks post-departure to ensure accurate billing and inventory management.
    • Monitor and adjust group blocks to maximize room revenue and ensure optimal inventory utilization.
  • Client Communication:
    • Serve as the primary hotel contact for group clients, including social and citywide room blocks.
    • Respond promptly and professionally to reservation inquiries and provide accurate information regarding hotel facilities, services, and policies.
    • Liaise with group contacts to ensure all reservation details and special requests are accurately recorded and fulfilled.
  • Internal Collaboration:
    • Collaborate with the Sales, Conference Services, Catering, Front Office, and Housekeeping teams to ensure seamless execution of group events.
    • Participate in pre-conference meetings and communicate group requirements to relevant departments.
    • Create and distribute group resumes and event orders to inform staff of group needs and schedules.
  • Administrative Duties:
    • Generate and analyze reports related to group pick-up, rooming lists, and billing to provide insights for management.
    • Maintain organized and accurate records of group reservations, correspondence, and billing information.
  • Ensure compliance with hotel policies and procedures, including credit policies and payment procedures.
     

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

  • Education:
    • High school diploma or equivalent; a degree in Hospitality Management or a related field is preferred.
  • Experience:
    • Previous experience in hotel reservations, front office, or sales support, preferably in a luxury property.
    • Proficiency in hotel management software systems such as Opera (PMS), Delphi FDC, and Passkey is highly desirable.
  • Skills:
    • Excellent interpersonal and communication skills, both verbal and written.
    • Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
    • Attention to detail and a high level of accuracy in data entry and reporting.
    • Ability to work independently and collaboratively in a fast-paced environment.
    • Proficiency in Microsoft Office Suite, particularly Excel.
