Summary:
The Order Management & EDI Specialist manages the order to cash process for customer orders, ensuring accurate order processing, EDI compliance, logistics coordination, inventory allocation, invoicing, and freight execution. This role acts as the operational hub connecting customers, production, warehouse, logistics, and finance teams.
Key Responsibilities & Core Functions
Order Management
- Process customer orders accurately and efficiently.
- Manage order entry and maintenance within ERP and customer systems.
- Ensure timely order acknowledgments and order updates.
EDI Administration
- Manage transactions through TrueCommerce and other EDI platforms.
- Process EDI 850 Purchase Orders.
- Generate and transmit EDI 856 Advance Ship Notices.
- Process EDI 810 Invoices.
- Troubleshoot EDI transaction errors and connectivity issues.
- Maintain trading partner setup and ongoing EDI compliance.
Inventory Allocation & Order Execution
- Allocate available inventory to customer orders.
- Coordinate production timing and product availability with Operations.
- Manage order prioritization during inventory constraints.
Logistics & Transportation
- Coordinate inbound and outbound freight.
- Manage carrier and 3PL relationships.
- Track shipments and resolve transportation issues.
- Support freight cost analysis and optimization efforts.
Forecasting & Planning Support
- Assist with demand forecasting activities.
- Monitor order trends and customer demand patterns.
- Provide data to support purchasing and production planning.
Order to Cash Support
- Support order reconciliation and transaction accuracy.
- Partner with Finance to resolve billing discrepancies.
Required Qualifications & Experience
- Minimum of 5+ years of progressive experience in customer operations, logistics, order management, or supply chain management
- Experience in food manufacturing or consumer packaged goods (CPG) strongly preferred
- Knowledge of food safety regulations and industry specific compliance requirements preferred
Technical Qualifications
- Strong working knowledge of order management systems and ERP platforms
- Hands on experience with EDI systems highly desirable
- Familiarity with TrueCommerce, Sage50, or similar accounting/ERP systems preferred
- Experience working with retailer systems and requirements, including scorecards, on time delivery metrics, and compliance mandates
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) required
- Advanced Excel skills for data analysis and reporting preferred

Educational Requirements
- High school diploma or equivalent required
- Associate or bachelor’s degree in business, Supply Chain Management, Logistics, or a related field preferred
