THE POSITION
Within the General Services and Real Estate Department, we are looking for a General Services Coordinator W/M in the context of business growth and organizational structuring.
As part of your role, you will ensure the smooth operation of the company, the safety of people and property, and the optimization of the working environment by managing service providers and regulatory compliance, mainly for the sites in Lisbon, Madrid, and Tunis.
You will also provide support to all international sites (Asia, Africa).
Your main responsibilities will be primarily related to General Services, and occasionally to accounting-related matters.
Main responsibilities :
Lisbon / Madrid
Participate in and monitor fit-out and workspace projects
Manage orders and stock, including supplies, furniture, etc.
Manage access and security, including badges, access control, and safety of people and property
Supervise corrective and preventive maintenance and general upkeep of premises, including works, technical interventions and fire safety
Ensure that buildings meet company needs and provide a safe and comfortable working environment
Follow up on internal requests
Manage service providers, contracts, and invoice control
Monitor budgets and analyze expenses
Ensure compliance with regulatory requirements applicable in the different countries, particularly health and safety obligations
Update procedures, ensure compliance with ISO 27001, and participate in audits
Collaborate with IT on stock management and IT service provider follow-up
International sites
Build an internal network and support local teams on General Services topics for international sites; occasional travel may be required
As the role evolves, management responsibility for a General Services Officer may be considered
Accounting tasks
Receive and scan all supplier invoices for the subsidiary, then coordinate validation with budget owners and accounting
Check IT and General Services invoices and monitor consumption
YOUR PROFILE
You hold a two-year higher education diploma (Bac+2) in administrative management or secretarial work and already have experience in a similar role.
You are fluent in English, French, and Portuguese. Spanish is a plus.
You have a good command of Microsoft Office tools and an interest in IT tools.
You are recognized for your adaptability, interpersonal skills, and responsiveness.
You have strong analytical and organizational skills and work in a structured and rigorous manner.
You are able to manage multiple tasks simultaneously.
Your communication skills and ability to interact with a wide range of internal and external stakeholders will be key to your success in this role.

Skills Required
