Job Summary

Our client in the Real Estate sector is seeking a proactive and detail-oriented Frontline Officer to support the day-to-day operations of assigned properties. The role involves conducting regular building inspections, supervising maintenance and repair works, managing tenant and contractor relationships, and ensuring facilities operate safely and efficiently. The Facilities Officer will also support property rentals by assisting with client tours and onboarding of new occupants.



Key Responsibilities
  • Conduct daily inspections of assigned buildings and report findings to management

  • Supervise all maintenance and repair activities, including technicians and contractors

  • Manage relationships with tenants, property owners, visitors, and service providers

  • Support leasing activities by collaborating with the Sales & Marketing team

  • Prepare weekly reports on tenant complaints, maintenance issues, and ongoing works

  • Follow up on Common Area Maintenance (CAM) charges and maintain accurate payment records

  • Monitor and record daily electricity meter readings (common areas, lifts, pumps)

  • Prepare monthly diesel surcharge invoices and track fuel storage balances

  • Coordinate maintenance works with the Property Manager and ensure quality delivery

  • Escalate tenant concerns promptly for resolution

  • Ensure consistent water supply across all storage tanks

  • Enforce compliance with safety regulations and coordinate security measures

  • Assist with facility budgeting and identify cost-saving opportunities

  • Maintain monthly procurement lists and supplier databases

  • Schedule internal and external works and communicate with stakeholders in advance

  • Supervise on-site works and maintain daily attendance records for staff, visitors, and contractors

  • Perform any other duties assigned by management



RequirementsQualifications
  • HND or Bachelor’s degree in Business Administration, Real Estate, or a  related field .

  • 2–3 years’ experience in customer service, preferably within real estate or property management.

  • Strong communication and interpersonal skills.

  • Strong customer service orientation and problem-solving ability.

  • Organizational and multitasking skills.

  • Attention to detail in reporting and record-keeping.

  • Basic knowledge of property/facility operations and real estate processes.

  • Proficiency in Microsoft Office Suite; CRM or property management software is an advantage.

  • Professionalism, discretion, and ability to handle confidential information.

  • Time management skills and ability to work with minimal supervision.

  • Basic budgeting and cost monitoring skills.



Skills Required
