Job Summary:

The Front Office Coordinator is based at Bell and Howell’s Durham, NC HQ office, with operations throughout the U.S. and Canada, and reports directly to the Manager, Office Administration Operations.

Job Responsibilities:

  • Assists visitors by greeting, welcoming, and directing them appropriately.
  • Notifies company personnel of visitor arrival.
  • Maintains security by following procedures, utilizing the visitor management solution (SPLAN), and issuing visitor badges.
  • Answers phones, screens, and forwards as appropriate.
  • Processes inbound and outbound mail.
  • Supports and assists with managing internal and external company events. On-site events are a shared responsibility between Facilities and Front Office Coordinator.
  • Provides general administrative support, including, but not limited to:
    • Maintains and manages office supply inventory
    • Provides department workflow support
    • Performs clerical tasks to support daily operations
    • Assists with projects within the Administration team or other areas as needed.
  • Working with facilities, acts as emergency evacuation coordinator to take charge of and manage employee evacuation process and procedures during an emergency.
  • Maintains the appearance of the lobby and reception area.

  • Proficiency with Microsoft Excel, Word, and Outlook.
  • Ability to communicate effectively both orally and in writing.
  • Ability to understand, remember and follow verbal and written instructions.

Education and Experience:

  • High School diploma or equivalent and least one (1) year experience in a similar role.

Travel:

  • This position does not require travel in the United States and Canada.

Physical Requirements:

  • Availability to work a standard, in-office work schedule from 8am to 5pm, Monday through Friday.
  • Ability to remain in a stationary position 75% of the time.
  • Ability to type on a keyboard.
  • Ability to hear and talk.
  • Ability to move about inside the office to access file cabinets, office machinery, etc.
  • Ability to operate a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
  • Requires close vision for computer work and reviewing correspondence.
  • Work is performed in a controlled office and manufacturing environment, noise levels within acceptable safety levels, paper dust, etc.
