The Front Office Assistant is responsible for utilizing customer service skills to meet client intake and information service needs, as well as providing general information and referral services. This position assists program staff with day-to-day clerical and business operations. The Front Office Assistant is responsible for conducting financial intake interviews with clients. This position also rotates coverage for front desk reception and financial intake duties as needed.

Essential Job Functions

  • Provides preliminary contact with the public; Uses customer service skills to greet visitors, check-in clients, monitor waiting room, and answer telephone. Answers routine questions, routes visitors and calls to appropriate staff person.
  • Triages and prioritizes incoming requests for services with appropriate clinical and financial guidance while adhering to confidentiality requirements.
  • Conducts intake interviews with clients and/or other referral sources to gather necessary information to connect clients with appropriate services. Verifies client insurance coverage. Collects and updates client demographic, insurance, payer, and financial information into Electronic Health Records system and ensures accuracy and completeness. Computes clients sliding fee amount. May explain insurance coverage, billing policies, and fees.
  • Schedules assessment appointment. Sets-up client for telehealth appointments (on-site or remote)
  • Assists clients in completing needed releases of information and obtains consents for treatment.
  • Assists in entering Urine Drug Screen information into appropriate electronic software.
  • Serves as liaison to agency departments and external referral sources to ensure client access to services. Identifies and addresses staff and clients need to ensure smooth coordination of services.
  • Produces typed copy and correspondence, records, and reports. Proofreads copy and corrects errors in spelling, punctuation, or grammar.
  • Provides clerical support including photocopying, faxing, printing, scanning, and assembling group packets/folders.
  • Distribute surveys and informational materials to clients as necessary.
  • Refers clients with possible Medicaid eligibility criteria to Medicaid Enrollment Specialist.
  • Communicate with clients in their native language if bilingual. Use interpretation service, as needed, to communicate with clients.
  • Collect payment on accounts.
  • Works as part of a team. Provides training and coaching to peers as requested by Supervisor.
  • Rotates and works in various locations /assignment to provide adequate coverage.
  • Other duties as assigned.

Knowledge, Skills, and Abilities Required

  • In order to perform the essential functions of this job, after an orientation period, the employee must possess the following: a working knowledge of Riveon Healthcare Policy and Procedures, including sensitivity and adherence to clients' rights, confidentiality, and health and safety issues.
  • Must have prior customer service experience, with an emphasis on medical setting preferred.
  • Must have scheduling, reception, and financial intake screening experience.
  • Must possess excellent written and verbal communication skills.
  • Must have the ability to effectively work with Agency employees, outside contacts, and a diverse client population.
  • Must possess knowledge of computers, software, and other office equipment.
  • Insurance billing and electronic medical records experience required.
  • Experience with Microsoft Office required.
  • Must be able to maintain regular and predictable attendance and punctuality.
  • Knowledge of HIPAA/confidentiality guidelines required.

Requirements/Qualifications

  • High School Diploma or equivalent
  • Post-high school courses in insurance billing, data processing and medical terminology preferred.
