Job Summary: In this newly created role, we are seeking a motivated and professional Front Desk Receptionist/Administrative Assistant to join our dynamic team. This entry-level position serves as visitors' first point of contact and provides vital administrative support to the Business Development team and senior executives. The ideal candidate is personable, organized, and eager to learn, with a strong focus on providing exceptional customer service and administrative efficiency. The ideal candidate will embody Epirus' innovative mindset. They will be agile, collaborative, and results-oriented. This position reports to Epirus Facility Security Officer.
Responsibilities:
- Reception & Front Desk Support:
Greet and assist visitors, clients, and vendors in a friendly and professional manner.
Manage incoming phone calls, route them appropriately, and take accurate messages when needed.
Maintain the front desk area, ensuring it is presentable and well-organized.
Support FSO in conducting clearance checks and supporting Epirus’ employees with their visit requests - Administrative Assistance:
Provide calendar management support for senior executives, including scheduling meetings and coordinating appointments.
Assist in preparing reports, presentations, and other documents for the Business Development team.
Handle incoming and outgoing mail, packages, and courier services. - Business Development Support:
Coordinate logistics for meetings, events, and travel related to business development initiatives.
Maintain and update client databases and files.
Support preparation for client pitches and follow-ups, ensuring materials are up-to-date and organized. - General Office Support:
Order and maintain office supplies inventory.
Assist with onboarding new employees by preparing workstations and introductory materials.
Perform other administrative and clerical duties as assigned. - 25% travel may be required
Basic Qualifications:
- Education: Associate degree or equivalent experience.
- Experience: Minimum of two years in administrative roles, including reception or administrative support.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Communication and Organizational Skills: Ability to manage multiple calendars, prioritize tasks, and respond with a sense of urgency while delivering excellent customer service.
- Multitasking: Strong ability to juggle multiple responsibilities in a fast-paced environment with exceptional organizational skills.
- Security Clearance: Must be able to obtain and maintain a U.S. government-issued security clearance. U.S. citizenship is required.
Preferred Skills and Experience:
- Active DoD Secret Security Clearance.
- Education: Bachelor’s degree preferred.
- Experience: Previous Executive Administrative experience.
- Industry Experience: Familiarity with working at a start-up defense company is a plus.

As required by the Equal Pay Transparency Act, Epirus provides a reasonable range of minimum compensation for roles that may be hired. Actual compensation is influenced by a wide array of factors including but not limited to skill set, level of experience, and specific office location.
For the state of California only, the range of starting pay for this role is:
$21—$27 USD
