Front Desk Receptionist | East Entrance

We are seeking a professional, customer-focused Front Desk Receptionist to serve as the face of our organization for our east entrance. This role is responsible for creating a welcoming experience for insureds, guests, vendors, and employees while helping maintain a secure, organized, and professional office environment.
The ideal candidate is friendly, detail-oriented, highly organized, and takes pride in providing exceptional customer service. This individual will be a trusted resource for employees and visitors alike and will play an important role in supporting daily office operations, while working closely with our facilities and security team.
Key Responsibilities
Employee & Customer Experience
- Greet customers, insureds, guests, vendors, and employees in a professional and welcoming manner.
- Serve as the first point of contact for incoming visitors and phone calls.
- Assist visitors with directions, information, and connecting with appropriate staff.
- Ensure every guest receives a positive and professional experience.
Office & Employee Support
- Serve as a go-to resource for employees by providing administrative and office support.
- Coordinate and organize meeting rooms, including scheduling, setup, and readiness for meetings and events.
- Assist with special projects, company events, and employee engagement activities.
- Maintain office supply inventories and coordinate replenishment as needed.
Building Security & Confidentiality
- Support building security procedures by monitoring visitor access and sign-in processes.
- Handle confidential and sensitive information with discretion and professionalism.
- Assist in maintaining a secure workplace by following established security policies and procedures.
- Help ensure company records and information are protected appropriately.
Facility Appearance & Workplace Environment
- Maintain a clean, organized, and professional front lobby and reception area.
- Create a warm and welcoming atmosphere through seasonal decorating and event-related displays.
- Assist in ensuring common areas, meeting spaces, and reception areas reflect the company's professional image.
- Support a positive workplace culture through attention to detail and hospitality.
Qualifications
- High school diploma or equivalent required.
- Previous receptionist, administrative assistant, customer service, hospitality, or related experience preferred.
- Exceptional interpersonal and communication skills.
- Strong customer service mindset with a friendly, professional demeanor.
- Ability to maintain confidentiality and handle sensitive information.
- Strong organizational, multitasking, and time-management skills.
- Proficiency with Microsoft Office and other office technology.
- Ability to work independently while supporting a team environment.
- Creative and enthusiastic approach to maintaining a welcoming office atmosphere.
