Pyramid Healthcare, a nationally recognized leader in behavioral health and addiction treatment, is seeking a Front Desk Coordinator to join our Outpatient Treatment Center in Stroudsburg, Pennsylvania. Our outpatient facility provides evidence-based mental health and substance use treatment services that support individuals on their path to long-term recovery.

As the first point of contact for clients, families, and community partners, the Front Desk Coordinator plays a critical role in creating a welcoming, professional, and organized environment while supporting the daily operations of our behavioral healthcare clinic. Schedule & Pay

Full-Time - $15-$17/hour - depending on experience

Monday - Wednesday: 8:00 AM - 4:30 PM

Thursday: 8:00 AM - 5:30 PM

Friday: 8:00 AM - 1:00 PM

Position Summary

The Front Desk Coordinator provides administrative, clerical, and operational support to ensure the efficient day-to-day operation of our outpatient behavioral health facility. This position serves as the primary front office representative, assisting clients, managing scheduling activities, maintaining medical records, and supporting intake and billing processes while delivering exceptional customer service.

Key Responsibilities
  • Manage the daily operations of the facility front office
  • Welcome, greet, and assist clients, visitors, vendors, and staff entering the treatment center
  • Coordinate and oversee appointment scheduling and calendar management
  • Maintain medical records, including filing, scanning, document transfers, and record requests
  • Assist with client registration, intake processes, and billing documentation
  • Answer and direct incoming phone calls while providing exceptional customer service
  • Perform administrative duties including filing, faxing, copying, scanning, typing, and mailing correspondence
  • Order office and client supplies while maintaining appropriate inventory levels
  • Coordinate maintenance and repair of office equipment with vendors and service providers
  • Maintain and reconcile petty cash according to company policies
  • Ensure the office and reception areas remain clean, organized, and professional
  • Maintain confidentiality of client and company information in compliance with HIPAA and organizational policies
  • Complete required trainings and maintain compliance with accreditation, licensing, and regulatory standards
  • Perform additional duties as assigned
Required QualificationsEducation & Experience
  • High School Diploma or GED required
  • Bachelor's degree preferred
  • Previous administrative assistant, receptionist, front desk, medical office, or customer service experience preferred
  • Experience in behavioral healthcare, mental health services, addiction treatment, or healthcare administration preferred
Knowledge, Skills & Abilities
  • Strong proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and Teams
  • Ability to learn and effectively utilize Electronic Medical Record (EMR/EHR) systems and other healthcare software
  • Knowledge of federal, state, accreditation, and regulatory compliance standards
  • Excellent verbal, written, and interpersonal communication skills
  • Strong customer service and relationship-building abilities
  • Exceptional organizational and time management skills
  • Ability to prioritize multiple responsibilities in a fast-paced environment
  • Ability to maintain confidentiality and exercise sound judgment
  • Ability to respond appropriately in crisis situations and high-risk environments
  • Strong attention to detail and commitment to accuracy
  • Ability to work independently and collaboratively within a multidisciplinary team
