Role Summary

Position: Front Desk and Activation Intern
Department: Learning Experience and Recruitment
Reports To: Learning Community Experience Specialist
Duration: 3 months
Location: ALX Hub, Johannesburg, South Africa
Time Commitment: 40 hours per week

The Front Desk and Activations Intern serves as the primary customer service representative for the ALX Hub, supporting the Learner Experience and Recruitment teams in creating a welcoming, engaging, and well-managed hub environment. You will be the first point of contact for our learners, alumni and visitors. This role blends traditional front desk responsibilities with learner support—ensuring every learner feels welcomed, guided, and cared for throughout their journey with us.

This role is vital in maintaining communication and the interface between learners and the organisation. The intern will provide support for hub events, daily communication and nudges as well as learner led and recruitment activities within the hub, providing continuity and retention of learners across all programs.

Specific Responsibilities

Front Desk and Hub Operations Duties:

  • Greet learners, alumni, guests, and visitors with warmth and professionalism.
  • Create, send and answer emails and walk-in inquiries.
  • Manage front desk operations, including sign-in registers and scheduling.
  • Maintain a clean, organised, and welcoming reception area.
  • Support tour and hub visits and information provision for Hub navigation.
  • Identify opportunities to connect visitors with relevant programs.
  • Conduct weekly hub walkthroughs and stock takes, reporting any issues or supply needs to Learner Experience Specialist.
  • Support the planning and delivery of hub activities, events, and learner engagement initiatives.
  • Promote upcoming hub activities and recruitment events, and assist with outreach and inquiries from prospective learners.
  • Support learner-led activities within the hub.

Learner and Recruitment Support Duties:

  • Assist with basic technical support for learners on LMS.
  • Assist learners with general queries about programs, schedules, and resources.
  • Provide guidance on registration, onboarding, and program processes.
  • Help direct learners to the right staff members or support services.
  • Offer encouragement and support to ensure learners feel confident and engaged.
  • Promote upcoming hub activities and recruitment events, and assist with outreach and managing inquiries from prospective learners.

Administrative Support:

  • Support the team with clerical tasks such as data entry.
  • Assist in coordinating and setting up events, workshops, or learner activities when required.
  • Prepare and distribute communication materials (notices, reminders, etc).

  • Basic computer literacy, including Microsoft Office and email systems.
  • Exceptional organisational skills and attention to detail.
  • Ability to multitask and manage competing priorities in a busy environment.
  • Ability to handle conflict, remain calm and professional under pressure.
  • Reliability and punctuality for a consistent Hub presence.
  • Cultural sensitivity and ability to work with diverse cultures.
