The Role Part-time hybrid across three braids:
personal assistant, virtual assistant for business operations, and sales
outreach. The split is roughly a third each, flexing week to week. This is not
rote work. It rewards initiative, discretion and good judgement, with one
client and a long horizon.
Key responsibilities
Personal assistant
- Inbox
triage and management. Draft and respond on Stuart's behalf where briefed.
- Calendar
and scheduling.
- Travel
research and booking.
- Supplier
and subscription management (utilities, software, services).
- Light
expense tracking and invoicing support.
- Ad-hoc
personal tasks: research, ordering, logistics.
Virtual assistant
- Document
preparation, formatting and light editing in Google Workspace.
- Research
and briefings on request.
- Drive
and file organisation.
- Meeting
prep, notes and follow-ups.
- Light
project tracking across the brands.
Sales and outreach
- Own
the HubSpot CRM: contacts, deals, sequences, workflows, reporting.
- Design
and run outbound sequences (email and LinkedIn) for Intelliskill and
across the group.
- Build
and refine sales funnels and process workflows.
- Lead
qualification, follow-up and pipeline reporting.
- Identify
and pursue freelance and consulting opportunities on Stuart's behalf: scan
job boards, LinkedIn and networks, draft proposals and outreach in his
voice, manage the application flow.
Required skills
- HubSpot
fluency (CRM, sequences, workflows). Non-negotiable.
- Demonstrable
experience designing and running sales funnels and outbound sequences.
- Excellent
written English: professional, adaptable to Stuart's voice for outreach
and inbox work.
- Strong
discretion and confidentiality: this role handles personal information.
- Proactive.
You spot opportunities and act, not wait to be told.
- Cold
outreach experience (email and LinkedIn).
- Comfortable
in Google Workspace, WhatsApp and modern collaboration tools.
- Reliable
across UK and Philippines hours: overlap during UK morning, roughly 1pm to
5pm PH time, Mon to Fri.
Nice to have
- Experience
with ChatGPT, Claude or other AI tools for productivity and drafting.
- Prior
work with UK or other Western clients.
- LinkedIn
Sales Navigator.
- Lead-gen
tools: Apollo, Lemlist, Instantly, Clay.
- Experience
applying for and winning freelance or consulting contracts (Upwork,
LinkedIn ProFinder).
- Background
in sports media, consulting or professional services. A plus, not
required.
The trust position
You will see inbox, calendar, supplier accounts and light
expense data. You will not handle banking, personal identity documents or
sensitive family financials. A signed NDA and reference checks are required
before starting. We work openly, with clear lines on where personal data starts
and stops.
Hours and engagement
- 20
to 25 hours per week, part-time, remote.
- Contractor
basis to start, with a view to a long-term engagement (12 months plus).
- Some
overlap with UK morning required, typically PH afternoon (1pm to 5pm PH
time, Mon to Fri).
- Remaining
hours flexible.
