POSITION PURPOSE

The Forum Training Specialist is responsible for the scheduling, coordination of administrative tasks and communications related to the execution of global forum training programs to support the successful delivery thereof. The specialist will execute the necessary tasks related to training programs with multiple stakeholders and platforms, focused on planning, data entry, stakeholder communication, and technology integrations.

PRIMARY RESPONSIBILITIES

  • Provide Cvent entry, registration tracking and attendance reporting of all Forum training programs.
  • Manage registrations and provide prompts, reminders, and event links as necessary to encourage participant attendance and high post-program evaluation completion rates.
  • Communicate and track email addresses and participant list with session facilitators as per agreed timelines for accurate record purposes in the new member journey.
  • Implement YPO’s finance process in support of training programs, such as the production and tracking of SOWs, MSAs, Speaker Agreements, intake forms, W8/W9 forms and payment processing for Certified Forum Facilitators (CFF) and Certified Mentoring Facilitators (CMF).
  • Partner with the Data and Insights team in capturing required data for reporting into Salesforce and other required data management platforms, as well as running reports from Salesforce and other data management platforms regarding training programs to ensure accurate reporting.
  • Collaborate with stakeholders to prepare communications and promote training programs.
  • Schedule and initiate workshops based on program demand and budget allocations aligned to strategic objectives.
  • Identify opportunities to streamline, improve and/or automate training event related processes and workflows.
  • Manage risk and ensure contingency measures are in place for the successful implementation of training initiatives.
  • Build and manage events in Cvent to oversee CFF registrations to facilitate Forum programs.

EXPERIENCE/BACKGROUND

  • 3+ years of experience managing training registration of over 50+ programs per year.
  • 2+ years of experience using CRM and Cvent.
  • Proven experience in supporting and executing multiple stakeholder deliverables.
  • Membership or association experience preferred.
  • Experience in professional services and/or event planning environments preferred.

EDUCATION/TRAINING/CERTIFICATION

  • Bachelor’s degree or equivalent experience.
  • Salesforce Certified Administrator (SCA) or equivalent preferred.
  • Cvent certification or equivalent preferred.

PHYSICAL REQUIREMENTS

  • Ability to work flexible and/or extended hours as needed to accommodate members and team members in multiple time zones.
  • Ability to work for extended hours at a computer screen.
  • Willingness and ability to travel, domestically and internationally, without restrictions, approximately 5% per year.
