What you'll be doing
- 1. Compliance and Coordination
- Act as the primary contact for Finance, Legal, and Operations teams in both the Philippines and Australia.
- Monitor and ensure timely renewal of business permits and compliance with local government requirements.
- Coordinate with Finance to ensure accurate and timely payment of taxes and other statutory obligations.
- Create payroll bank accounts for new hires and submit bi-monthly payroll reports to Finance for processing.
- Oversee accurate processing of government-mandated benefits (SSS, PhilHealth, Pag-IBIG), loans, Certificates of Employment (COEs), and other required documentation. This includes preparing the Separation Agreement for Loans documentation.
- Review and approve payroll reports, back pay computations for separated employees, and related payment requests. This includes sending the QuitClaim and BIR 2316 / Income Tax Return.
- Own the leave, timekeeping, and expense audits.
- Prepare the Release and Acknowledgement of Maternity Benefit.
- Prepare and compute the 13-month pay.
- Prepare and compute the sick leave conversion.
- Review and approve key financial transactions, including OPEX and CAPEX items, Coupa payments, and vendor invoices.
- Collaborate with Finance on reporting requirements for HMO, group life insurance, and accident insurance coverage.
- Co-own the Manila Workplace Experience (WX) budget with the Director of Workplace Experience.
- Review and manage vendor contracts and ensure adherence to agreed terms and service levels.
- Support Manila-based employee travel requests, including preparation of visa letters, facilitation of cash advances, and related arrangements.
- Provide assistance for company events, operational needs, and special projects as required.
- Act as Company Treasurer and member of the Board of Directors for the Manila entity.
- Review, sign, and update corporate details for SEC registration, business permits, and other local government unit (LGU) requirements.
- Oversee timely renewal and compliance with all regulatory permits and licenses.
- Liaise with Legal and Finance teams to ensure corporate documents and records are accurate and updated.
About you
- High level, hands-on management of the payroll cycle, including accurate computation of government-mandated benefits
- Proven experience in financial operations, including managing budgets, reviewing OPEX/CAPEX, and overseeing vendor management process from contract review to invoice payment.
- Demonstrable experience managing corporate compliance requirements, and supporting corporate secretarial duties.
- A proactive and independent self-starter taking full ownership of deadlines and outcomes.
- Excellent cross-cultural communication skills, with the ability to act as a trusted and effective liaison between local employees and international Finance, Legal, and Operations teams.
