Job Summary: This position is a part-time adjunct position, not to exceed 29 hours per week. This position will assist the Director of Finance and Grants with various financial reporting requirements, grant application document coordination, contract coordination & requirement, procurement requirements, invoice review and processing, monitoring multiple grant fund expenditures, and other administrative tasks as needed. This position assists with coordinating grant activities with 10 regional offices and supports projects such as the Business Accelerator Fund, Emerging Technologies Fund, SBA Cooperative Agreement, MEDC Core award, MEDC TECH award, and other federal, state, and project funds as required.

Job Responsibilities:

  • Work with MI-SBDC Director of Finance & Grants, to assist with finance monitoring and reporting.
  • Maintain organized and accurate grant documentation for internal/external audits.
  • Reconcile monthly grant information to the Lead Center’s systems/initiatives.
  • Assist with financial processing including purchase order requisitions, invoice processing, and required documentation. 
  • Monitor open Purchase Orders. 
  • Track project expenditures; estimate burn down rates for various federal and state grants, gift and program income funds. 
  • Assist with various state and federal reporting requirements. 
  • Assist with contracts and agreements, including maintaining files and required documentation.
  • Assist with audits (internal and external).
  • Assist with year-end close out.
  • Work in collaboration with GVSU Finance & Grants Management staff as required
  • Work closely with the Director of Finance & Grants, assist with the annual SBA Cooperative Agreements application and documents requirements.
  • Work closely with the Director of Finance & Grants, ensure compliance with federal and state grant requirements in conformance with federal, state, and university requirements including submission of timely (monthly, quarterly, semi-annual, and annual) required reports.
  • Ensure effective communication of related responsibilities to Lead Center staff and the regional offices and specialty teams.
  • Work closely with the Director of Finance & Grants, assist with the sub-recipient monitoring functions for the SBDC providing support to the annual financial review.
  • Support financial/compliance assistance to the regional hosts/service centers as needed and per the Subaward terms, and as requested by the Director of Finance & Grants.
  • Provide monthly financial reporting forecasts, and insights for the Director of Finance & Grants to aid decision making.
  • Performs other related duties as assigned by the Director of Finance & Grants.

Job Qualifications:

  • Federal and/or State grants management experience.
  • Ability to work in a fast-paced environment with a collaborative and innovative Leadership Team.
  • A minimum of five years of relevant experience in working within the field of business accounting and/or grants and/or finance.
  • Experience in developing and delivering management reports.
  • Excellent oral and/or written communication skills.
  • Strong attention to detail.  
  • Strong experience in financial management in environments using spreadsheet and database applications. 
  • Bachelor’s degree and/or commensurate experience.

Preferred Qualifications:

  • University-or public accounting finance experience.
  • Audit experience
  • Contract management experience.
  • Experience using WorkDay.
