ABOUT THIS ROLE

The Finance and Operations Manager is responsible for providing financial management and oversight across the Center for Leadership various project areas. This position will report to the Executive Director for Leadership Initiatives. Our ideal candidate will have proven experience managing budgets and other administrative operations within a complex, fast-paced nonprofit setting. Expertise in managing many complex Excel-based tracking systems is required, as are superior organization skills and the ability to manage competing priorities and deadlines.

This role reports to the Executive Director for Leadership Initiatives. The salary range for this position is $90,000- $100,000. In accordance with our Reimagining Work policy, the Finance and Operations Manager should be willing to be in-person with colleagues a minimum of 40% of the time while having the flexibility to work remotely for the balance. In-person consists of meaningful connections with colleagues in an office, traveling to a different office or location to meet fellow staff members, at an Aspen event, at a meeting outside the office or other opportunities to meet in person with teammates and colleagues.



WHAT YOU WILL DO

Oversee the financial systems for the Center for Leadership

  • Monitor and track program and project expenses and revenues;
  • Update budget reports;
  • Prepare quarterly salary allocations in collaboration with Sr. Finance Manager;
  • Monitor and track program general ledger and conduct monthly budget reconciliation in collaboration with Sr. Finance Manager;
  • Review invoices from vendors and contractors and prepare requests for payment, ensuring that payments are made in a timely manner;
  • Oversee reimbursement processes for project-related events.

Oversee the gift management systems for the Center for Leadership

  • Manage the program’s gifts and agreements processes in collaboration with the Office of Institutional Advancement;
  • Monitor the schedule of reporting deadlines and coordinate with Center colleagues to ensure financial reports are prepared, approved, and submitted on time;
  • Manage sub-granting processes by soliciting and monitoring reports from grantees, updating reporting, and generally overseeing grant management;
  • Work with program staff to prepare project budgets for proposals;
  • Oversee and maintain financial records on the program’s funders, grantees, and contractors in collaboration with the Aspen Institute accounting department. Work with Center staff to respond to funder requests for financial information.

Oversee other systems and platforms to ensure the operational excellence of the Center

  • Coordinate consulting contracts and agreements, facilitating due diligence reviews, and act as a liaison with Aspen Institute legal department as needed.
  • Coordinate hiring and onboarding processes, and act as a liaison with the People and Culture team as needed;
  • Ensure that Center for Leadership financial information is accurate across all Aspen Institute Central Services platforms;
  • Ensure compliance with all Aspen Institute policies and procedures.


WHAT YOU WILL NEED TO THRIVE

  • Bachelor's degree (B.S.) in accounting or related degree and minimum 5 years of experience in Accounting, Finance, and Budgeting.
  • Knowledge of accounting in a nonprofit organization.
  • Advanced Microsoft Excel skills.
  • Strong budgeting and forecasting background.
  • Experience using financial reporting tools such as Adaptive, Planful, NetSuite or in-house budgeting tools.
  • Experience in working with, analyzing, and interpreting data, and communicating results to non-finance personnel.
  • Ability to work in a fast-paced environment, adjust to new priorities, and meet deadlines.
  • Excellent organizational, communication, and planning skills, with attention to details.
  • Strong customer service orientation – a “Yes, and” attitude.
  • Good interpersonal skills, as well as sound judgment, maturity, and flexibility.
