Who we are looking for:
As a Finance & Administration Coordinator, you will provide key administrative and coordination support across AGAT's corporate operations while working closely with the Controller, Accounting team, employees, managers, vendors and service providers.
This position is responsible for several important company-wide administrative functions, including fleet administration, corporate travel, corporate credit cards, lease and rent administration, purchasing support and reporting.
We are looking for someone who takes ownership of their responsibilities, pays close attention to detail and is comfortable working independently while coordinating across the organization.
What you will be doing:
  • Coordinate, administer, and maintain AGAT's vehicle fleet, including registrations, maintenance scheduling, fuel cards, insurance documentation and vehicle assignments.
  • Monitor upcoming renewals, maintenance requirements and other fleet obligations.
  • Administer and maintain the corporate travel booking portal and ensure travel arrangements comply with corporate policies and approved procedures.
  • Assist employees with travel bookings and travel-related inquiries.
  • Review, reconcile and process monthly corporate credit card statements and supporting documentation.
  • Follow up with cardholders regarding outstanding receipts, discrepancies and expense information.
  • Provide administrative support for accounts payable and other accounting functions.
  • Assist the Controller and Accounting team with reporting, schedules and special projects as required.
  • Maintain AGAT's rent and lease schedules and ensure information remains accurate and current.
  • Monitor lease obligations, renewal dates and rent payments.
  • Coordinate documentation and communications with landlords and property management representatives.
  • Handle confidential corporate and financial information with professionalism and discretion.
What we are looking for:
  • Minimum 3 years of administrative experience within a professional or corporate environment.
  • Strong working knowledge of Microsoft Excel, Outlook and Microsoft Office.
  • Excellent written and verbal communication skills.
  • Strong organizational, planning and time-management skills.
  • Demonstrated attention to detail and accuracy.
  • Ability to manage multiple responsibilities and deadlines in a fast-paced environment.
  • Ability to work independently, take ownership and follow matters through to completion.
  • Strong judgment, professionalism and discretion when dealing with confidential corporate and financial information.
  • Comfortable communicating and working with employees and management at different levels of the organization.
  • Experience with accounting administration, corporate credit cards, fleet management, leases or procurement would be considered an asset.
