Position Summary: The Case Management Administrator will serve as the internal expert and primary point of contact for all Filevine-related support, development, and optimization. This role is critical to ensuring that our legal teams can work efficiently and effectively within the Filevine ecosystem. The ideal candidate has a strong background in law firm operations, excellent communication and training skills, and a proactive approach to problem-solving and system improvements.
Key Responsibilities:
- Serve as a primary administrator and subject matter expert for the Filevine platform.
- Manage and respond to user support tickets, troubleshooting issues and providing timely solutions.
- Design, test, and implement new workflows, custom fields, task flows, and reporting tools within Filevine.
- Provide training and onboarding to new users and create documentation and resources for ongoing education.
- Collaborate with department heads to identify opportunities for process improvements and translate them into Filevine solutions.
- Participate in and contribute to cross-functional projects, including automation, data migration, and reporting initiatives.
- Attend weekly team meetings to discuss platform updates, user feedback, and project status.
- Ensure data integrity and maintain security protocols within Filevine.
- Occasionally work overtime to meet project deadlines or resolve urgent system issues.
Required Qualifications:
- Filevine Expert Certification (Required)
- Filevine Master Certification (Preferred)
- Minimum 3 years of experience working within a law firm environment.
- Proven experience in Filevine administration and customization.
- Excellent verbal and written communication skills; able to clearly explain complex systems to non-technical users.
- Demonstrated ability to train and support end users across varying technical skill levels.
- Proficiency in Microsoft Word and PowerPoint.
- Strong organizational and time management skills, with the ability to handle multiple priorities simultaneously.
- High level of attention to detail and a commitment to delivering high-quality work.
Desired Qualifications:
- Familiarity with legal workflows, including personal injury processes.
- Experience with Filevine integrations and third-party tools.
- Understanding of data governance, compliance, and privacy standards in a legal setting.
Physical Requirements:
- Office environment with normal business hours necessary to satisfactorily perform job functions.
- Stationary Position – Must be able to remain in a stationary position up to 50% of the time.
- Move or Traverse – This position needs to occasionally move about inside the office to access file cabinets, meeting rooms, office machinery, etc. May occasionally ascends/descends the stairs to get to other floors, cafeteria and parking area.
- Dexterity – constantly operates a computer and other office machinery such as a copy machine/printer.
- Move, Transport, Position, Put, Install, Remove - Occasionally moves supplies weighing up to 10 pounds for various presentation and event needs.
- Communicate, Detect, Converse with, Discern, Convey, Express oneself, Exchange information - The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
- Detect, Determine, Perceive, Identify, Recognize, Judge, Observe, Inspect, Estimate, Assess - The ability to observe details at close range (within a few feet of the observer).
