Overview:

The File and Records Manager plays a key role in maintaining organized, efficient, and accessible records to support the mission and daily operations of the Spokane County Democrats. This individual will help manage digital and/or physical files, streamline document management systems, and ensure compliance with organizational and regulatory filing standards, especially within a political and advocacy context.

Key Responsibilities:

  • Organize, maintain, and update digital and/or physical filing systems.

  • Implement a standardized filing and naming convention for documents.

  • Ensure all files are properly archived and accessible to relevant team members.

  • Track filing deadlines and assist with document preparation and retention schedules.

  • Support administrative staff with document retrieval and filing-related tasks.

  • Ensure confidential and sensitive documents are securely managed.

  • Assist with onboarding documentation, donor records, compliance files, and meeting minutes as needed.

  • Provide occasional support for data entry and administrative reporting.

These qualities and skills will be helpful:

  • Strong organizational skills with attention to detail.

  • Comfortable using digital file management tools (SharePoint, etc.).

  • Ability to maintain confidentiality and handle sensitive information.

  • Strong communication skills and ability to work independently and collaboratively.

  • Interest in nonprofit and/or political work is a plus.

  • Prior experience with administrative or clerical tasks preferred but not required.
