Key Responsibilities
- Serve as the primary scheduler for the CEO while providing calendar management and scheduling support for the Executive Leadership Team.
- Coordinate internal and external meetings across multiple time zones, proactively managing calendar conflicts, executive availability, and scheduling requests to ensure efficient coordination and alignment with business needs.
- Serve as the primary coordinator for CEO travel planning and logistics, including itinerary development, travel bookings, calendar integration, and schedule adjustments, while providing travel support to the Executive Leadership Team as needed.
- Report directly to the Executive Operations Manager, supporting the execution of executive priorities while enabling the Executive Operations Manager to focus on strategic planning, corporate initiatives, executive operations, and Board governance.
- Work closely with the Office Coordinator to ensure executive meetings and events are fully supported, including conference room coordination, meeting logistics, catering, visitor support, and other on-site operational needs.
- Perform additional administrative and operational support activities in support of executive operations, including correspondence, document and presentation preparation, meeting materials, and other executive support functions as needed.
- Maintain confidentiality while exercising sound judgment, professionalism, and discretion in all scheduling activities.
Qualifications
- Bachelor’s degree or equivalent relevant work experience.
- 2+ years of executive administrative or scheduling experience, including experience supporting C-suite or senior executive leaders.
- Demonstrated proficiency managing complex calendars, coordinating meetings across multiple time zones, and resolving scheduling conflicts.
- Experience coordinating executive travel, including bookings, itineraries, ground transportation, and calendar integration.
- Strong written and verbal communication skills, with the ability to interact professionally with senior leaders and internal and external stakeholders.
- Strong organizational skills, attention to detail, and the ability to manage multiple responsibilities with minimal oversight.
- Proficiency with Microsoft 365, including Outlook, Word, Excel, PowerPoint, and Teams.
Colorado law requires us to tell you the base compensation range of this role, which is $60,000 - $74,000, determined by your education, experience, knowledge, skills, and abilities. What we can’t quantify for you are the exciting challenges, supportive team, and amazing culture we enjoy.
