You’ll handle communication, follow-ups, outreach, and administrative systems — ensuring that every opportunity is tracked, every conversation followed up, and every detail handled with care.

  • Must-Haves:
  • Faith-Driven Alignment – You have a personal relationship with Christ and are comfortable working in a mission-centered, faith-based environment.

Responsibilities of the Executive Sales Assistant:

Your responsibilities include:

  • 🧭 Sales & Lead Management
    • Manage and organize the sales funnel to ensure no lead falls through the cracks
    • Conduct lead generation and outreach targeting schools, athletic directors, and church networks
    • Use AI tools (like Gemini) to personalize outreach messages in the founders’ voice and tone
    • Nurture leads through consistent communication and timely follow-up
    • Manage LinkedIn and email messaging on behalf of the founders.
    • Track all interactions, updates, and progress within the CRM system
  • 🗓 Calendar & Meeting Coordination
    • Schedule 2–3 new meetings per day with high-value contacts
    • Prepare call briefs and background summaries on prospects
    • Coordinate logistics, confirmations, and reschedules efficiently
    • Coordinate travel and event logistics when applicable
  • ✉️ Communication & Administrative Support
    • Manage inboxes and communication channels for both founders.
    • Draft, organize, and send timely responses to inquiries and client messages
    • Build and maintain spreadsheets, reports, and outreach trackers
    • Create and update SOPs, task guides, and internal workflow documentation
    • Support daily administrative tasks that free up the founders’ time and focus
  • ⚡ GoHighLevel Management
    • Keep the CRM clean, segmented, and up to date with accurate contact data
    • Build email campaigns, follow-up automations, and workflow sequences
    • Create and test simple landing pages and pipeline stages in GoHighLevel
    • Monitor campaign results and recommend improvements for engagement and conversions
  • 🎟 Conference & Event Support
    • Research event attendee lists and pre-schedule outreach to key contacts
    • Capture and organize leads gathered at conferences or networking events
    • Update CRM records and handle follow-up communication efficiently
    • Process voice notes or messages sent during events and convert them into actionable next steps
  • 🎨 Light Creative Assistance
    • Support the creation of simple graphics, one-pagers, and digital assets
    • Assist with outreach materials, presentations, or basic design tasks as needed
