Job Description

Provides administrative, logistical, and customer support to the Executive Recruiting team, hiring managers, and candidates to ensure efficiency, accuracy, and the highest level of customer/candidate experience.

Experience

  • 3 years providing administrative support in a fast paced environment
  • Experience supporting senior level/executive leadership
  • Experience scheduling and coordinating multi-stakeholder, multi-site interview events
  • Experience working with a web-based applicant tracking system that incorporates on-line onboarding and job posting portals

Preferred Qualifications

  • Bachelor’s Degree in Business or Human Resources strongly desired
  • Experience in a high touch corporate recruiting function or recruiting agency

Education

  • High school diploma or equivalent

  • Ability to prioritize and manage a variety of tasks and meet deadlines
  • Ability to interface with a diverse mix of people, including senior leadership, and handle difficult situations with determination and a “can do” attitude
  • Demonstrated verbal and written communication, organizational, and interpersonal skills
  • Excellent grammar, vocabulary, and annunciation
  • Advanced computer skills including full suite of Microsoft Office and other Windows-based applications
  • Ability to research local venues for recruiting events and determine best options for executive and candidate experience while factoring cost value and return on investment
  • Must be self-sufficient and able to work independently
  • Superior attention to detail and problem solving skills
  • Superior customer service and candidate experience approach
  • Ability to handle sensitive and confidential information appropriately

Job Responsibilities

  • Maintains calendars, appointment scheduling, and works with executive recruiters to effectively manage time.
  • Coordinates and confirms interview and travel schedules with candidates and hiring managers.
  • Coordinates and manages recruiting events for executive candidates including managing interviewer handoffs and transporting candidates to various locations.
  • Drafts, sends, and manages candidate correspondence/communications.
  • Schedules/tracks background screen information to include: criminal/education verification, reference checks, and job assessments.
  • Initiates and manages on-boarding process utilizing company’s applicant tracking system.
  • Reviews all new hire paperwork for completeness, accuracy, and necessary signatures.
  • Creates and distributes orientation roster and conducts new employee orientation check-in.
  • Submits/processes sign-on bonuses and relocation reimbursements for approval and prepares written authorization for relocation to third-party vendor.
  • Coordinates, edits, and distributes regularly scheduled recruiting reports.
  • Coordinates, manages submission, and tracks payment of candidate travel and relocation reimbursements.
  • Processes all third-party invoices for payment and reconciles financial spending spreadsheets on a monthly basis.
  • Partners with other Recruiting Coordinators and Executive Assistants to maximize the effectiveness and efficiency of time with leaders.
