The Role

This is a high-trust, high-visibility Executive and Personal Assistant role supporting Harza Group's Creative Director directly. It is one of the most senior support roles in the organization, and it is built for someone who wants real proximity to how a fast-growing creative and business operation actually runs, not a role buried in administrative process.

The Creative Director's work does not sit neatly inside business hours or inside a single city. Between shooting days, brand launches, partner meetings, travel for content and press, and the ordinary demands of running a life at that pace, the calendar changes constantly, and it changes for real reasons: a flight moved up, a shoot extended a day, a personal commitment that needs to happen around a work trip rather than the other way around. Your job is to sit inside that motion and make it work, not to manage it from a distance.

Concretely, this means the line between professional and personal support is intentional, not a grey area you will need to negotiate. In the same week you might be restructuring a travel itinerary around a last-minute shoot location change, coordinating with a creative team on deliverables and deadlines, and separately making sure a personal errand, appointment, or household matter is handled before it becomes a problem. Both halves of the role carry equal weight. Neither is the exception to the other.

Travel is a defining feature of this role, not an occasional part of it. You should expect to travel internationally and extensively alongside the principal, often with a few days of notice or less, sometimes for multi-week stretches, across time zones and continents. You are the person who makes sure that when the schedule shifts at the last minute, which it will, nothing falls through: documents are in order, the right car is booked, the right bag made the flight, and the principal never has to think about any of it.

Discretion is the foundation the entire role is built on, not a line item in a requirements list. You will be exposed to confidential business decisions, unreleased creative work, and genuinely personal matters, often in the same conversation. The expectation is simple and absolute: what happens in this role stays in this role, during your time here and after it. What You Will Own

Executive Support and Calendar Ownership. Owning the principal's calendar end to end: scheduling, prioritization, conflict resolution, and same-day rebuilding when plans change. Managing inbox triage and correspondence, preparing the principal for meetings with the right context in hand, and following through on commitments so nothing depends on someone else remembering it. Coordinating with internal teams, external partners, and vendors on the principal's behalf, representing their priorities, tone, and standards accurately in every interaction.

Personal Support and Lifestyle Management. Managing the day-to-day personal logistics that keep the principal's life running smoothly: personal appointments, household matters, errands, gifting, and the countless small decisions that come up between commitments or while on the road. Treating personal support with the same seriousness, structure, and follow-through as any professional deliverable, because in this role it carries the same weight.

Travel, Logistics, and On-the-Ground Problem Solving. Planning and often traveling alongside the principal internationally, frequently on short notice, for trips ranging from a few days to several weeks. Managing itineraries, travel documentation, accommodations, ground transportation, and packing logistics. Solving problems in real time when something goes wrong in an unfamiliar city or time zone, without needing to escalate for permission first.

Discretion, Confidentiality, and Judgment. Protecting the confidentiality of the principal's identity, unreleased creative and business plans, and personal matters at all times, including with colleagues outside a defined circle of trust and with people outside the company entirely. Exercising consistent, sound judgment about what can be shared, with whom, and when, without needing a rule written down for every scenario.

Proactive Ownership and Anticipation. Anticipating needs before they are voiced, based on genuinely understanding how the principal thinks and works, not just following a checklist. Solving problems independently and communicating early and clearly when something cannot be solved alone. Bringing solutions alongside any problem you raise, and building the kind of track record that earns you more autonomy over time.


Requirements

Experience and Background

2+ years of experience supporting a senior executive, founder, or public figure in an executive or personal assistant capacity, ideally including direct experience blending professional and personal support for the same principal. Experience in fast-paced, creative, or founder-led environments is a strong plus.

Travel and Availability

Currently residing in Canada. This is a hard requirement, not a preference. Demonstrated, real capacity to travel internationally and extensively, without personal constraints that would prevent this schedule from working consistently over time. Comfortable with a high-availability schedule, including evenings, weekends, and shifting time zones while traveling with the principal.

Discretion and Trust

Exceptional discretion, with demonstrated past experience handling confidential or sensitive information under real pressure to disclose it. Comfortable holding information you cannot discuss, including with close friends or family, without it creating friction for you personally.

Communication and Presence

Strong written and verbal English communication. Comfortable representing someone else's voice, tone, and priorities accurately in written and spoken communication. Comfortable with async-first, remote-first tools (Slack, Asana, Google Workspace) and proactive, structured communication across time zones, without needing to be chased for updates.

Mindset

Calm, resourceful, and solutions-oriented under pressure and ambiguity. You default to handling things yourself and escalating only when it genuinely requires the principal's input. You take real pride in operating quietly and effectively behind the scenes, and you are energized by proximity to a fast-moving creative and business operation rather than drained by it.
