Are you someone who thrives on bringing order to complexity and keeping senior leaders one step ahead?

We’re seeking an Executive Assistant to support a forward-thinking Global Chief Financial Officer and Company Secretary within a privately owned, rapidly expanding organisation operating across Australia, Canada, the US, and the UK.

This opportunity is open to individuals from diverse backgrounds — including hospitality, retail, administration, logistics, operations, or project coordination — who are known for their reliability, strong judgement, and ability to stay organised in fast-paced environments. A consistent career history demonstrating accountability and growth will be highly regarded.

About the opportunity

In this role, you’ll act as a trusted right-hand to the Global CFO, ensuring their day-to-day priorities are managed seamlessly. You’ll be responsible for coordinating workflows, anticipating needs, and keeping the function running efficiently behind the scenes.

You’ll also be working alongside a leader who actively embraces innovation, including AI and emerging technologies, to drive smarter and more effective ways of working.

Key responsibilities
  • Deliver high-level coordination and administrative support to the Global CFO and Company Secretary.

  • Oversee a busy, international schedule, managing competing priorities across multiple time zones.

  • Arrange end-to-end travel, including complex international itineraries, accommodation, and logistics.

  • Assist with inbox management and draft communications on behalf of the CFO.

  • Build strong relationships with internal and external stakeholders, acting as a key liaison point.

  • Ensure documentation and records are maintained with accuracy, discretion, and confidentiality.

  • Contribute to continuous improvement by identifying more efficient ways of working, including leveraging digital and AI tools.

About you

You might currently be in a role where you’re juggling multiple priorities — whether in administration, customer-facing positions, operations, or team support — and are ready to step into a more strategic coordination role.

Success in this position will come from your ability to stay organised under pressure, communicate confidently, and build trust with senior stakeholders.

You’ll demonstrate:

  • Proven reliability and strong performance in a fast-paced environment.

  • A stable career history that reflects progression and increasing responsibility.

  • The ability to manage competing demands with strong attention to detail.

  • Confidence interacting with a wide range of stakeholders, supported by high emotional intelligence.

  • Clear and professional communication skills.

  • Proficiency across Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams).

  • A proactive, solutions-focused approach with a strong sense of ownership.

  • Curiosity and openness to using technology and AI to improve workflows.

  • Professionalism, discretion, and sound judgement at all times.

Relevant qualifications in Business Administration or similar are advantageous but not required.

What’s on offer
  • A pivotal role supporting a senior global leader in a growing international business.

  • Exposure to executive decision-making and global operations.

  • Flexible hybrid working, with a base in Dandenong South and options to work from home or Mt Eliza.

  • The chance to influence how the CFO’s office operates and evolves, including adopting modern systems and tools.
