Job Description

We're looking for a highly organised and detail-oriented Executive Assistant to join our team in Mitcham, Australia. You will support the executive office, managing complex schedules, coordinating meetings, and ensuring seamless operations across multiple priorities.   • Coordination of Executive schedules and calendar management
  • Coordination of meetings for Executive team and committees, including preparing agendas, electronic minutes and management of confidential documents
  • Provide timely and accurate information in response to queries by patients, visitors and other customers
  • Effectively and efficiently liaise with all levels of staff and various other organisations
  • Responsibility for document creation, revision and control
  • Assisting with producing and distributing communications to staff and doctors
  • Provide backup support for the management of doctor Credentialing applications and renewals, and maintaining accurate and up-to-date records of doctor credentials, qualifications, licenses, and certifications.
  • Planning and execution of events and maintaining event calendars
  • Collaborate with departments to collect and feature important information for staff newsletters for both sites.
  • Booking and coordinating Executive travel.
  • Be involved and support continuous improvement projects and audits being undertaken in the department and the organisation
  • Assist in compiling data and generating reports to track initiatives
  • Other administrative tasks as required.

  • Must provide or complete a National Police Check conducted within the previous 12 months.
