Job Description
Roles & Responsibilities
- Perform contract control of incoterms, payment terms, standard coffee terms and coffee contracts policy.
- Review compliance and consistency of the contract terms when entered by coffee traders.
- Follow internal approvals, digital signatures and release of contracts to customers or traders.
- Act as backup for contract creation by inputting data as accurately as provided by the trader.
- Follow-up counter signature of contracts with customers or traders and check terms of third-party contracts when received, which should be the same as entered in the system.
- Ensure that all contracts are backed with a deal confirmation between the trader and the counterpart, track and archive the same in the dedicated system.
- Track and control that the proper cost calculation is received for every trade, and enter accrual in the system.
- Enter intercompany contracts, especially inter-profit and Certs accounts, as well as buybacks in the system.
- Follow the approval process for contract amendments, perform amendments including coordinating the rolling back of executed transactions, futures and cash allocations.
- Support the contract allocation whenever necessary for origins on shipments and marketers on spots.
- Liaise with Accounts, Clearing and Execution for the contract amendment process, or any additional complex intercompany trade flows.
- Develop understanding of all aspects of the trading flow, in order to perform all contract tasks with a comprehension of the implications in the trading, accounting, execution and IT tasks.
- Due Diligence for Brokers and forwarding agents.
- Update Daily Business Report (DBR) and to escalate in case any delays in getting deal confirmation, cost sheet , counter signed contracts & contract approvals.
Qualifications
- Bachelor Degree / MBA in International Trade preferred.
- Preferably 2 to 5 years in International Trade Operations
Additional Information
Skills & competencies /Specific knowledge/ Abilities (including any physical demands)
- Proficiency in MS-Office and strong business communication abilities
- Advanced level of proficiency in MS-Excel will be a plus
- Highly attention to details, speed & accuracy of work to complete tasks on time
- Experience in commodities trading- documentation/ support function will be a definite plus
- Knowledge of international trade & execution will be a plus
