Role Overview
The Sr. Executive Assistant is a strategic and administrative professional who serves as a strategic business partner and trusted advisor to the President of PTC Japan.
This role operates at a strategic level, owning strategic planning, stakeholder alignment, process improvement, and end-to-end business enablement. As an all‑rounder who works side-by-side with senior leadership daily, the Executive Partner optimizes the management work environment and directly impacts company operations by enabling the executive to focus exclusively on critical business priorities. This role drives strategic alignment, operational excellence, and cross-functional execution for the Japan business.
Key Responsibilities
Strategic Agenda & Meeting Leadership
- Independently own, manage, update and optimize the President’s strategic calendar; structure time around top business priorities.
- Prepare and facilitate executive, cross-functional, client, partner, and global HQ meetings with decision-ready agendas and pre-briefings.
- Track action items, escalate risks proactively, and deliver solutions to keep strategic work on track.
Stakeholder Engagement & Strategic Liaison
- Serve as the primary liaison between the President, global headquarters, cross-functional teams, clients, partners, and government stakeholders.
- Manage high-priority communications, synthesize complex information, and ensure consistent, professional messaging.
- Build trusted relationships to accelerate decision-making and resolve cross-functional blockers.
Strategic Projects & Process Improvement
- Lead critical strategic projects and ad hoc initiatives assigned by the President.
- Identify operational inefficiencies, drive process improvements, and strengthen leadership effectiveness.
Business Enablement & Operational Execution
- Plan and organize internal/external programs and events; manage logistics with internal partners and external vendors.
- Execute expense management activities in compliance with company policy and local Japanese regulations.
- Assess office space needs and advocate for resources to support business scalability.
Content & Decision Support
- Draft, edit, and format high-impact strategic documents, presentations, business reviews, and global headquarters materials.
- Prepare briefing materials, board content, and client-facing collateral with high professionalism.
- Provide translation support (English/Japanese) for critical business matters as needed.
Confidentiality & Trusted Advisor
- Maintain absolute confidentiality of all sensitive business, leadership, client, and internal information.
- Act as a trusted advisor with strong judgment, integrity, and professionalism.
Required Qualifications & Competencies
- Experience: 3–8 years in Executive Business Partner, Chief of Staff, or C-level executive support experience; software, multinational, or foreign-invested enterprise preferred.
- Languages: Native Japanese; fluent business English (written and spoken); ability to engage professionally with senior stakeholders.
- Strategic Mindset: Ability to anticipate executive needs, prioritize high-impact work, and thrive in a fast-paced, ambiguous environment.
- Stakeholder & Project Skills: Excellent cross-functional coordination, project leadership, and problem-solving capabilities.
