Howden Ireland are delighted to have a vacancy as an Executive assistant, based out of our Ringsend office, on a full-time permanent basis.

About The Position:

The Executive Assistant will provide high-level, proactive administrative, operational, and strategic support to the CFO, CRO and COO in a fast-paced, regulated insurance environment. This role is critical to the efficiency and effectiveness of the executive leadership team and ensures that senior leaders are enabled to focus on core decision-making, governance, and commercial outcomes.

The successful candidate will act as the central coordination point for executive activity, while also supporting key business operations, governance reporting, calendar management, and high-level stakeholder engagement and communication.

This role is ideal for someone who is ambitious and energetic, and who is looking to fast-track their learning and career progression.

Key Responsibilities:

  • Manage complex and dynamic diaries, meetings, travel plans, and scheduling for the CFO, CRO and COO across internal and external commitments.

  • Act as the main gatekeeper for all incoming correspondence, email triage, and meeting prioritisation, including managing competing requests for time.

  • Accompanying the Executive Team to key meetings. Taking actions and holding relevant members of staff accountable for delivery of those actions.

  • Carry out specific projects and research as required.

  • Prepare executive-level documents, presentations, agendas, board packs, and reports to a high professional standard.

  • Coordinate meetings with key stakeholders such as regulators, board members, external partners, and clients, ensuring materials and minutes are prepared, distributed, and actioned.

  • Track and follow up on key executive deliverables, deadlines, and commitments to ensure progress is maintained across strategic initiatives.

  • Support the CFO, CRO and COO in managing confidential HR, governance, and legal matters, including assisting with evaluations and director correspondence.

  • Support and manage key strategic initiatives as agreed with the CFO, CRO and COO.

  • Liaise with senior internal stakeholders as needed to ensure the Business continues to move and succeed at the desired pace.

  • Manage the scheduling and logistics of off-site leadership and business events, working closely with other key teams such as Marketing.

About You:

  • Minimum of 2 years’ experience ideally working in the Insurance industry.

  • Experience supporting multiple C-level executives is highly desirable.

  • Familiarity with Irish corporate governance, board procedures, and compliance expectations is desirable.

  • Knowledge of industry terminology, processes, and stakeholders within the insurance sector is advantageous.
