We are seeking a proactive, detail-oriented, and communicative Executive Assistant to support a dynamic CEO managing four early-stage tech startups in the AI and software development space. This is a full-time remote position with flexible hours, though you must be available for some overlap with GMT 10:00–18:00 to coordinate effectively.
As the right hand to the CEO, you’ll play a critical role in keeping the business—and life—running smoothly. You’ll manage calendars, coordinate meetings, streamline communication, and assist with both business and personal tasks in a fast-paced, startup environment.
Key Responsibilities:
Manage complex calendars and coordinate meetings across time zones
Prioritize and handle email correspondence on behalf of the executive
Track and follow up on tasks, deadlines, and deliverables
Coordinate internal projects and ensure team members are aligned
Facilitate communication between the executive and small startup teams
Organize documents and maintain shared files
Assist with personal tasks and scheduling (appointments, research, reservations, etc.)
Identify opportunities to improve workflows and increase efficiency using AI tools and automation
Key Tools:
Google Workspace (Calendar, Gmail, Docs, Sheets)
Slack
Zoom
Project Management Tools such as Jira or Notion
AI tools (e.g., ChatGPT)
Requirements:
Professional fluency in English (spoken and written)
Minimum 2 years of experience as an Executive Assistant, Operations Manager, or similar role
Strong organizational and multitasking skills
High attention to detail and follow-through
Strong written and verbal communication
Adaptability to shifting priorities and fast-moving tasks
Comfortable working autonomously and handling confidential information with discretion
Tech-savvy with a willingness to learn and leverage new tools
Experience working in a startup or remote-first environment
