Profile Requirements:

  • Minimum 1.5 years’ experience in an Executive Assistant, Personal Assistant, Office Manager, or similar administrative role.
  • Excellent written and verbal English communication skills with strong attention to detail and professionalism.
  • Highly proactive, organised, and able to anticipate needs before they arise.
  • Strong time management skills with the ability to manage competing priorities and deadlines.
  • Confident using Microsoft Office Suite, Google Workspace, scheduling platforms, and modern workplace technologies.
  • Basic understanding of AI tools and their practical application to improve daily workflows, organisation, and productivity.
  • Strong problem-solving skills with the ability to work independently and take initiative.
  • Demonstrated ability to maintain confidentiality, exercise sound judgement, and build strong working relationships.

Core responsibilities:

  • Manage executive calendars, appointments, meetings, and scheduling priorities to ensure efficient time management.
  • Coordinate travel arrangements, meeting logistics, agendas, and follow-up actions as required.
  • Prepare, edit, and format professional documents, reports, presentations, and correspondence.
  • Act as a key point of contact between executives, clients, stakeholders, and internal teams with professionalism and discretion.
  • Monitor emails, communications, and daily workflows while prioritising urgent and important tasks.
  • Proactively identify opportunities to improve processes, organisation, and executive productivity.
  • Utilise digital tools and basic AI solutions to streamline administrative tasks, improve efficiency, and support workflow management.
  • Maintain accurate records, manage confidential information, and provide general administrative support to ensure smooth business operations.
