The Executive Assistant is responsible for enhancing executive effectiveness by providing information management support and representing executives to others. The Executive Assistant provides support in the areas of executive business operations and personal business matters daily. The Executive Assistant must use discretionary judgement and troubleshoot frequently.
How You Will Contribute:
Serve as the primary point of contact between leadership, sales teams, customers, carriers, vendors, and internal stakeholders
Manage executive calendars, travel agendas, meetings, and communications
Create presentations, reports, and business correspondence with a high degree of autonomy · Coordinate customer, sales, and internal events, including logistics, vendor management, catering, travel, registrations, employee engagement activities, recognition programs, and special events
Provide administrative and operational support to leadership and sales teams by tracking projects, milestones, certifications, licenses, expenses, budgets, and other business priorities
Prepare and analyze reports, presentations, expense documentation, and financial records while maintaining strict confidentiality and accuracy
Manage office hospitality, event supplies, gifts, and employee appreciation initiatives, ensuring efficient operations and positive team engagement
Collaborate with vendors, facilities, security, and external partners to ensure seamless execution of meetings, events, and business activities
Independently manage multiple priorities, special projects, and communications while exercising sound judgment and maintaining exceptional organizational standards
Licenses & Certifications:
Obtain insurance license(s) when required by leadership
Acceptable results of a Motor Vehicle Record report at the time of hire and periodically thereafter, and maintenance of minimum acceptable insurance coverages are a requirement of this position
Skills & Experience to be Successful:
3 or more years of experience as an Executive Assistant preferred
Basic understanding of insurance and business terminology
Fluent with Microsoft Windows, Office 365, Word, and Excel
AMS360 experience or skills to learn software program at an accelerated ability
Exceptional telephone demeanor
Must have excellent customer service and interpersonal skills
Professional and courteous demeanor
Maintain a high level of confidentiality
